Requirements
  • A high school diploma or equivalent is required.
  • A minimum of 3 years of meeting planning experience is required.
  • A minimum of 3 years of Sabre knowledge is required.
  • Knowledge of Cvent is required.
  • Knowledge of Google Suite is required.
  • Proficiency in Microsoft Office Suite is required.

Responsibilities
  • Source air charters when requested.
  • Source hotels, meeting space, and transportation.
  • Provide hotels with rooming lists, revisions, and team itineraries.
  • Request and review final folios and invoices and provide them to the coach or university.
  • Source meeting space, team meals, and audio-visual requirements.
  • Manage programs from concept to completion, including contracting with suppliers, creating cost estimates for budgeting, executing programs, and reconciling them.
  • Lead discovery calls to engage customers and learn about meeting needs, focusing on program goals and objectives and including all internal stakeholders.
  • Make destination recommendations and submit electronic requests for proposals through Cvent for diverse customers, considering program goals, objectives, budget, and space.
  • Produce accurate documents and reports for clients and vendors in conjunction with account needs.
  • Conduct vendor negotiations and execute contracts, including terms, due dates, cost savings, and concessions for hotels and venues, ground transportation, destination management companies, audio-visual production, and food and beverage.
  • Facilitate timely contract execution between the parties.
  • Provide the meeting owner or requester with a summary of all terms, due dates, total costs, and deposits to meet program timelines and deadlines.
  • Record accurate budgets, costs, savings, and contract execution in Cvent or an applicable system.
  • Travel on-site with programs as needed and maintain a professional demeanor while on-site.
  • Manage program reconciliation, invoicing, accounts payable, and accounts receivable for each program when applicable.
  • Follow up to ensure timely payment processing and revenue reconciliation.
  • Provide service and manage relationships with meeting owners.
  • Offer professional recommendations to clients based on industry knowledge and expertise and secure repeat business.
  • Identify process-efficiency opportunities and work with the leadership team on efficiency opportunities, account-specific best practices, and continual improvement.
Desired Qualifications
  • University student and athletic group experience is a plus.
  • Experience with the Amadeus Global Distribution System is strongly preferred.
