Responsibilities
  • Manage and oversee the Senior Program Manager and the Graduate Program Coordinator as part of the broader academic team.
  • Create and manage department policies and procedures for admissions review, tracking, targets, decisions, and reporting for the PhD Program, working with the Director of Graduate Studies, Student Admissions Committee, and Graduate School's Admissions Office.
  • Create and manage department policies and procedures for admissions review, tracking, targets, decisions, and reporting for the three Master's Programs, working with Program Directors, Executive Committees, and the Harvard Chan Admissions Office.
  • Develop and maintain systems for compiling, tracking, and reporting up-to-date admissions data, as well as repositories of admissions decisions and longitudinal data.
  • Lead the annual course offering process and instructor assignments for GSAS and HSPH course offerings, working with the Associate Department Chair and associated Registrar's offices.
  • Manage the teaching fellow assignment process, working with the Office of Educational Programs.
  • Provide guidance to faculty on course development and new course proposals.
  • Review course evaluations, student exit surveys, enrollment reports, semester grades, and related data to understand student, faculty, and department needs.
  • Coordinate departmental degree program policy with program directors.
  • Work with department leadership and the Registrar's Offices at GSAS and HSPH to manage and update policies and requirements in student handbooks.
  • Lead the overall funding strategy and appointment assignments for PhD students, coordinating and communicating with program leadership, faculty principal investigators, and students.
  • Oversee and approve financial aid allocations and the department fellowship budget.
  • Oversee student-related budgets, including student committees and activities, prospective student open house, and commencement celebrations.
  • Lead the administrative components of NIH T32 training grants and other fellowship applications and renewals.
  • Maintain accurate records and databases related to students' academic progress, program requirements, and alumni outcomes.
  • Maintain course archives and provide information and statistical data as needed.
  • Maintain accurate records for NIH T32 applications and renewals, including information for data tables.
  • Track lab rotation requirements for NIH T32 grants.
  • Serve as staff lead on departmental and school-level education-focused committees, including qualifying exam, degree program/academic standing, and curriculum committees.
  • Work with the heads of student service offices, including Registrar, Admissions, Student Affairs, Financial Aid, and Disability Access, at HSPH and GSAS to ensure compliance and student success.
  • Perform other duties as required.
