Requirements

Minimum of five O-level subjects, including Mathematics and English.
Tertiary-level certification from HEART, NCTVET, or another recognized institution.
A valid General Driver’s License held for at least two years.
Analytical skills and the ability to multitask while observing deadlines and forecasting.
At least two years of experience in a dealership and a manufacturer's position.
At least two years of customer service experience.
Strong oral and written communication skills and interpersonal relationship skills.
Computer literacy with Windows, Excel, Access, Outlook, and related applications and software.

Responsibilities

Greet customers professionally and courteously.
Consult with customers on required vehicle service, prepare estimates, and set job dates.
Conduct vehicle check-off and sanitization.
Conduct audits and spot checks.
Prepare preliminary estimates in consultation with Technicians, the Workshop Supervisor, and the Parts Department.
Prepare final pricing.
Prepare reports and transfer information to the job card before handing it over to the Dispatcher.
Ensure accurate and complete customer billing for delivery upon completion of vehicle service.
Provide customers with accurate delivery information on time.
Ensure sublet repairs are accurately recharged at cost and selling prices according to Standard Operating Procedures.
Complete invoices before closure or payment at the cashier and ensure all parts and labor are invoiced correctly.
Ensure purchase orders are processed correctly through the system.
Handle customer issues in a timely and professional manner.
Maintain a functional relationship with the estimating system.
Compare daily estimates with actual billing; contact the Parts Department about parts-price differences and liaise with the Body Shop Supervisor about labor-operation differences and additional parts or labor lines for supplementary estimates.
Ensure body shop repair orders are not closed before insurance companies process all supplementary estimates, and maintain a log.
Maintain insurance estimates and complete files with the Body Shop Supervisor.
Report daily to the Service Manager on all matters.
Maintain a daily sheet of work-logging Technicians and their details.
Record hours worked, start times, and times promised to customers.
Record estimates on repair orders and appointments on the register.
Record presold hours and maintain the appointment list.
Assign work to Technicians according to skill level and promised time.
Follow up on work in progress and notify customers in advance when promised times cannot be met.
Compare final invoices with originals and analyze quality-control reports.
Assist in preparing warranty claims according to Distributor procedures.
Maintain service files.
Administer special programs, including in-house warranties and mechanical insurance plans.

Service Advisor

The Service Advisor offers excellent customer service; conducts consultations on service required on vehicles, prepares preliminary estimate/final pricing, and through dialogue with Technicians, Workshop Supervisor, and the Parts Department. He/she ensures the billing corresponds with the service provided in accordance with Dealership and ATL Standard Operating Procedures.

Task Breakdown:

Greet customers in a professional and courteous manner.
Conduct consultation of service required, prepare estimate, and job date on vehicle.
Conduct vehicle check-off & sanitization.
Conduct an audit and spot check.
Prepare preliminary estimate in consultation with Technicians, Workshop Supervisor and Parts Department.

Satisfy customer request for accurate delivery information (Active Delivery) on time.
Ensure that all sublet repairs are accurately re-charged (at cost and selling as laid down in Standard Operating Procedures).
Ensure invoices are completed prior to closure or payment at the cashier and that all parts and labour are invoiced correctly.
Ensure Purchase orders are correctly processed through to the system.
Handle customer issues in a timely and professional manner.
Have a functional relationship with the Estimating System.
Conduct daily estimates vs. the actual billing. Contact the Parts Department in case of Parts price differences. Liaise with Body Shop Supervisor in case of labour operations differences and for additional parts/labour lines for supplementary estimate action.
Ensure body shop work ROs are not closed before all supplementary estimates have been processed by the insurance Companies (maintain a log).
Maintain insurance estimates, complete files in conjunction with the Body Shop Supervisor.
Report daily to the Service Manager on all matters.

Service Functions:

Maintain a daily sheet of all work-logging Technicians and all details.
Record hours worked. Time started. Promised to Customers.
Record estimates on Repair Orders and record appointments on register.
Record pre-sold hours and maintain appointment list.
Assign work to technicians according to their skill level and the time promised.
Follow up work in progress. Inform customers ahead of time if “time promised” cannot be kept.
Compare the final invoice with the original and analyze the quality control report.
Assist in preparing Warranty claims according to Distributor procedures.
Maintain service files.
Administer special programs such as in-house Warranty and Mechanical Insurance Plans etc.

Qualifications and Experience:
