Responsibilities
  • Coordinate and provide patient support services, including answering phones, directing calls, greeting patients and visitors, maintaining patient medical records via electronic medical records or paper charts, assisting with patient scheduling, performing office functions, and handling patient payments as applicable.
  • Greet patients and visitors, register and check in patients, and update patient demographics and insurance coverage in the computer system.
  • Answer patient calls, take and relay messages or scripted care directions, respond to patient and staff inquiries, and communicate with referring physician offices.
  • Perform checkout processes, including copay collections, scheduling return visits, providing the after-visit summary, ensuring follow-up tests have been ordered or scheduled where applicable, and documenting these activities.
  • Monitor patients' wait times and notify the appropriate nurse, lead, or manager of excessive wait times as defined by the clinic.
  • Open and route incoming mail; distribute correspondence, reports, and office supplies; mail form letters; and track and record patient information or program data where applicable.
  • Request and handle referrals and medical records from referring offices for new patient appointments.
  • Schedule appointments when directed.
  • Where assigned, maintain the cash drawer, reconcile daily cash, and prepare bank deposits, including completing paperwork to facilitate and track deposits.
  • Contact insurance companies and obtain registration or procedural precertifications as required by patients' healthcare insurance or managed care providers.
  • Perform functions using job-related software and systems.
  • Travel to other clinical facilities as required to accommodate staffing levels.
  • Perform other duties or special projects as assigned.
