Requirements
  • A high school diploma or equivalent is required.
  • Two years of additional training or related experience are required, or one year of secretarial training may substitute for the experience.
  • The ability to type at least 35 words per minute is required.
  • Understanding of Microsoft Office products, Excel, and other systems is required.
  • The employee must be able to lift, push, or pull 10–15 pounds.
  • The employee must be able to sit for long periods of time.
Responsibilities
  • Perform a wide range of administrative duties and coordinate complex office procedures in support of departments and leadership.
  • Coordinate departmental correspondence to facilitate ongoing communications and efficient departmental operations.
  • Reconcile the monthly budget with analysis reports and responsibility statements, update cost center budget tallies, and process invoices, purchase orders, requisitions, expense forms, credit card statements, and capital budget quotes.
  • Update policies and procedures annually and maintain departmental information for each area.
  • Provide employees with support for forms and information updates.
  • Screen and refer incoming phone calls and department visitors.
  • Prepare, maintain, and process office supply inventory.
  • Maintain conference room schedules and schedule staff and committee meetings and conference calls, including Webex needs.
  • Notify participants of meeting times and locations and prepare agendas and minutes as needed.
  • Prepare monthly calendars and maintain appointment calendars with accurate times and appropriate contacts.
  • Serve as the department's payroll representative and coordinate payroll and leave reports for department staff.
  • Schedule travel arrangements.
