Requirements
  • Candidates must be currently enrolled in Accounting, Finance, Business Administration, Public Administration, or a related field.
  • Candidates must have a basic understanding of accounting principles and financial documentation.
  • Candidates must be proficient in Excel and comfortable using Microsoft 365 tools.
  • Candidates must be able to handle confidential information professionally.
  • Candidates must be able to walk, stand, kneel, crouch, bend over, lift, reach, and handle objects weighing up to 25 pounds.
  • Candidates must be able to sit at a desk and work on a computer for prolonged periods.
  • Candidates must be able to travel to different locations within New York City as needed.
Responsibilities
  • Process invoices, match receipts, and verify required documentation for city-funded programs.
  • Enter accounts payable and accounts receivable transactions in NAICA’s financial systems.
  • Perform monthly reconciliations and track expenses across multiple shelter and housing contracts.
  • Prepare internal financial reports and summaries for program directors and senior leadership.
  • Organize and maintain digital and physical financial files for audit readiness.
  • Support annual and periodic internal, year-end, and Department of Homeless Services audits by preparing documentation and responding to requests.
  • Review spreadsheets and financial data for accuracy and compliance.
  • Track budgets and monitor expenditures for specific programs.
  • Contribute to special finance projects, cleanup tasks, and compliance-related work.
  • Purchase office, client, maintenance, and equipment supplies while maintaining documentation of purchasing decisions and forwarding purchase orders, packing slips, and invoices to Accounts Payable.
  • Organize invoices, packing slips, and purchase orders for Accounts Payable so they are readily available for assessment.
  • Prepare bid packages and negotiate prices, terms, and conditions before placing orders.
