Requirements
  • A high school diploma or equivalent is required.
  • At least 5+ years of experience in an office management position is required.
  • The ability to communicate effectively and professionally in Spanish, both verbally and in writing, is required.

Responsibilities
  • Provide direct supervision of support services, including facility operational processes and systems, front desk receptionists, the maintenance team, and security personnel.
  • Manage the reception area and maintain effective internal and external communications and a professional image.
  • Coordinate daily and weekly task assignments for front desk receptionists.
  • Provide ongoing training and guidance to front desk receptionists.
  • Supervise front desk staff and coordinate with clinical and administrative teams.
  • Assist with crisis intervention as needed.
  • Maintain room assignments and ensure rooms and supplies are prepared for newly hired staff.
  • Obtain completed forms or letters from the psychiatrist or psychiatric nurse practitioner as required.
  • Oversee quality assurance for office operations and frontline workflow processes, including electronic health record check-in and check-out and walk-in referrals.
  • Initiate and follow up on facility maintenance and equipment service requests.
  • Supervise maintenance and alteration of office areas and equipment, including layout and housekeeping.
  • Report and track maintenance and facility requests.
  • Monitor MetroCard distribution and reconciliation.
  • Initiate purchase requests for office supplies, furniture, and equipment for the program location.
  • Supervise maintenance of office equipment, including personal computers, printers, scanners, and fax machines.
  • Assist with video telehealth technology and video meeting platforms.
  • Manage dissemination of program reports and follow up on reporting assignments.
  • Coordinate with other teams to maintain smooth communication flow and resolve operational escalations.
  • Analyze operational trends and support workflow improvement initiatives.
  • Ensure compliance with New York State Department of Health, Office of Mental Health, Joint Commission, Health Insurance Portability and Accountability Act, Occupational Safety and Health Administration, and organizational policies.
  • Monitor adherence to front desk workflows, documentation standards, and regulatory requirements.
  • Monitor and report client wait times, front desk productivity, no-show trends, provider scheduling and support, and reception quality audits.
  • Develop action plans to improve operational performance.
  • Respond to operational incidents and facility emergencies.
  • Complete incident documentation and coordinate follow-up with leadership.
  • Participate in emergency preparedness planning and drills.
  • Serve as the primary liaison with building management, cleaning vendors, security vendors, equipment vendors, and facilities and maintenance contractors.
  • Assist with departmental budget planning and monitor office supply expenses.
  • Ensure cost-effective purchasing practices.
  • Coordinate onboarding and offboarding of office equipment and workspace setup.
  • Partner with information technology on workstation setup, equipment issues, and technology deployments.
  • Coordinate onboarding of front desk receptionists, including workspace preparation, access requests, and orientation.
  • Ensure new staff complete required operational training.
  • Participate in quality improvement initiatives and identify workflow inefficiencies.
  • Recommend operational improvements and support implementation of organizational initiatives and process changes.
  • Monitor and promote client experience at points of entry.
  • Address client concerns and provide service recovery when necessary.
  • Conduct team huddles and staff meetings.
  • Conduct performance appraisals and evaluations.
  • Oversee daily staffing coverage and attendance escalations.
  • Conduct staff write-ups and performance documentation in line with organizational policies.
  • Monitor frontline professionalism and client experience standards.
  • Foster continuous improvement, professional development, and staff accountability.
  • Mentor and support team development and performance.
  • Meet regularly with the Program Administrator regarding program operations.
  • Report to the Senior Manager, Call Center and Bronx Support Services, on operations, challenges, and team performance.
  • Coordinate special events, employee wellness activities, and engagement activities.
  • Perform other duties assigned by the supervisor and leadership.

  • Experience in behavioral health, outpatient clinics, or high-volume healthcare environments is preferred.
