Requirements
  • Bachelor's degree or equivalent work experience preferred.
  • Minimum of 3–5 years of experience in an executive or administrative assistant role, preferably in the non-profit sector.
  • Strong proficiency in Microsoft Office Suite, Google Workspace, and virtual meeting platforms (e.g., Teams).
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive matters with tact and discretion.
  • Demonstrated organizational and problem-solving abilities.
  • Commitment to the mission and values of the foundation.
Responsibilities
  • Manage the Executive Director’s phone calls, calendar, appointments, and travel arrangements.
  • Draft, proofread, and manage correspondence, reports, and presentations.
  • Coordinate and prepare materials for meetings, including board meetings.
  • Handle confidential information with integrity and discretion.
  • Schedule and organize internal and external meetings.
  • Take and distribute meeting minutes, track follow-up actions.
  • Assist with event planning, logistics, and donor engagements as needed.
  • Serve as a point of contact between the Executive Director and staff, board members, partners, and donors.
  • Maintain effective communication and ensure timely follow-up on key issues.
  • Support cross-functional initiatives and ensure deadlines are met.
  • Conduct research and compile data to support strategic decision-making.
  • Maintain records and filing systems (digital and physical).
  • Assist with special projects and tasks as assigned by leadership.
  • Coordinate with finance, development, and program teams when needed.
  • Other duties as assigned.
