About the job

Requirements
  • A high school diploma and 2 years of relevant experience, or an equivalent combination of education and experience, are required.
  • Demonstrated customer relations skills are required.
  • Ability to travel throughout the workday is required.
Responsibilities
  • Provide critical support to patient-care areas during absences, vacancies, and unexpected increases in work volume, performing complex secretarial and administrative duties across ambulatory practices with minimal direction and considerable latitude for independent judgment.
  • Train across the Department of Surgery’s ambulatory practice areas and use eRecord and other systems to receive and check in patients, complete prior authorizations, prepare clinics, manage provider calendars, optimize patient schedules, and coordinate patient care and information support.
  • Schedule appointments, tests, and surgeries using the hospital information system; coordinate ancillary appointments, tests, and consultations; complete related correspondence and forms; schedule interpreters and other outside services; and obtain prior authorizations as needed.
  • Enter surgeries into the Op-Time system and coordinate with appropriate operating rooms. Manage intake of new referrals through eRecord, work queues, faxed referrals, and calls from outside providers.

  • Communicate medical information to patients and relay messages to other callers as directed by physicians, nurses, and administrative staff.
  • Collect and update patient demographic and financial information, use data to complete prior authorizations, verify insurance for clinic schedules, and establish accurate billable accounts.
  • Serve as the primary contact for providers; manage calendars, prioritize appointments and meetings, resolve competing demands, review clinical and administrative schedules for accuracy, and report problems to the supervisor.
  • Arrange travel, conference registration, and hotel accommodations; manage incoming mail for surgeons and nurse practitioners and ensure correspondence receives timely attention and follow-up.
  • Greet patients, identify their health-care provider, direct them to their next destination, obtain required signatures, address special needs, monitor reception and waiting areas, collect co-pays at check-in, and provide and assist with required forms.
  • Perform other duties as assigned.

  • Experience with surgical or appointment scheduling software, such as Flowcast.
  • Experience with electronic medical records.
