  • A high school diploma or equivalent is required.
  • Two years of experience in a physician practice or customer service-related background is required.
  • Exceptional articulate communication skills are required.
  • The ability to demonstrate concern for patients’ problems is required.
  • The ability to empathize with geriatric and disabled people is required.
  • Good problem-solving skills are required.
  • Knowledge of Microsoft Word is required.
Responsibilities
  • Schedule all general dermatology appointments.
  • Answer incoming calls and triage them to the correct department or individual.
  • Reschedule cancelled and follow-up appointments.
  • Answer telephone calls promptly and identify oneself at the beginning of each call.
  • Pre-register all new patients, including entering demographic, contact, insurance, primary care physician, and co-payment information.
  • Verify caller information and check patients’ insurance eligibility status.
  • Schedule patients using the correct appointment type code and duration, document the appointment reason, and confirm the appointment date, time, provider, and office location.
  • Place patients on the call wait list when they wish to be seen sooner.
  • Check the wait list daily when cancellations occur.
  • Notify the appropriate office of same-day add-ons and cancellations.
  • Triage all calls to appropriate personnel.
  • Manage the scheduling queue voicemail throughout the day and return patient calls within 30 minutes of receiving a message.
  • Call patients back to attempt to reschedule appointments cancelled by voicemail.
  • Handle patient reschedules and reminders.
  • Enter faxed referral registration requests from primary care and urgent care offices.
  • Call patients to schedule appointments and document unsuccessful contact attempts in Athena charts.
  • Inform patients about proper protocols and referral requirements.
  • Complete assigned required training, including the Code of Conduct, Privacy & Data Security, and OSHA training.
  • Follow applicable policies, procedures, industry standards, laws, regulations, privacy and data-protection practices, and workplace-safety requirements.
