Requirements
  • Must be at least 18 years of age.
  • Must pass pre-employment drug and alcohol screening and the Washington State Patrol Background Check in compliance with Washington State law and federal regulations.
  • Must be able to handle frequent interruptions and distractions as a normal part of the working environment.
  • Must be able to prioritize tasks and quickly return to emergent tasks after interruptions.
  • Must complete Ward Clerk training under the supervision of a currently employed clerk.
  • Must maintain proficiency and accuracy in assigned clerical duties.
  • Must adhere to HIPAA and applicable privacy laws, infection control procedures, safety policies, security procedures, hospital policies, and the UFCW 21 union contract.
  • Must be able to communicate and interact with patients of all ages.
Responsibilities
  • Transcribe physician orders from patient charts to nursing records and medication sheets under staff nurse review, prioritizing stat orders.
  • Answer and transfer telephone calls, take messages when appropriate, and follow established telephone procedures and etiquette.
  • Act as a receptionist by greeting visitors and directing them to patient rooms and hospital departments.
  • Keep the nurses station tidy and organized.
  • Fax information and place faxed materials in the appropriate chart or department.
  • Operate the nurse station radio and use the pager system through the radio and telephone.
  • Notify the appropriate nurse when a call light has been on longer than five minutes.
  • Place lab work and X-ray reports on patient charts after nurse review and initiation.
  • Add required chart forms, including physician orders, progress notes, nurses notes, and graphic forms.
  • Notify the nurse when monitor alarms occur and check whether patient leads are disconnected or the battery needs replacement.
  • Notify the laboratory about new orders and timed draws and follow up on overdue requests.
  • Copy patient charts for transfers and ensure discharge forms are available for physician and nurse completion.
  • Maintain current call lists for physicians and staff in other departments.
  • Call surgery staff for emergency surgery under the direction of the house supervisor and after the required physician and anesthesiologist contact.
  • Greet patients, visitors, physicians, and staff courteously and professionally.
  • Report for scheduled shifts on time, follow uniform and attendance policies, take breaks as scheduled, and obtain approval for overtime and time off.
  • Attend required meetings and in-service training and act on information communicated through meetings and email.
  • Identify educational needs and maintain the appropriate skill level through educational opportunities.
  • Assist patients, family members, physicians, visitors, and employees professionally and courteously.
  • Promote diversity and inclusion, support cooperation and teamwork, and participate in team decisions.
  • Follow infection control procedures, including hand hygiene, standard precautions, personal protective equipment requirements, and isolation procedures as applicable.
  • Follow environmental care, hazardous materials, emergency code, and security procedures.
  • Adapt communication and interaction to varied age-specific patient populations.
