Requirements
  • 0 to 2 years of experience in marketing, events, hospitality, operations, or a related coordination role; internship and campus event experience counts.
  • Strong organizational skills and experience owning checklists, trackers, and deadlines with support from a program lead.
  • High attention to detail, including checking shipping addresses, invoices, and dates.
  • Clear, responsive written communication with internal teams and external vendors.
  • Comfort with spreadsheets and willingness to learn Salesforce, Marketo, Asana, and event registration platforms; prior experience with these tools is a plus.
  • Ability to remain dependable under pressure and respond practically when plans change on show day.
  • Ability to stand and walk for extended periods during show days and lift and move event materials up to 40 pounds, with or without reasonable accommodation.
  • Bachelor's degree or equivalent practical experience.
  • Willingness to travel up to 25%, including occasional weekends, early mornings, and late evenings, to support events onsite.
  • Authorization to receive and access commodities and technologies controlled under U.S. Export Administration Regulations.
Responsibilities
  • Own the pre-show and post-show checklist for assigned events, keeping deadlines, owners, and status current in Asana and on the events calendar.
  • Manage booth assets, swag, and collateral end to end, including inventory, shipping, tracking, returns, and reorders.
  • Handle vendor and purchasing paperwork, including purchase orders, invoices, vendor onboarding, W-9s, and certificates of insurance, while keeping budget trackers accurate.
  • Submit and track Marketing Operations requests for registration pages, pre-show and post-show emails, and Salesforce campaign setup.
  • Format post-show lead lists for handoff to Data Quality and Marketing Operations, and compile registration, attendance, and scan data into the standard post-event report.
  • Coordinate internal attendee logistics, including hotel blocks, badges, registrations, and deadline reminders.
  • Provide onsite support, including booth setup, teardown, and day-of coordination.
  • Track deadlines and requirements for partner, Networks, and public sector programs, including sponsor commitments, association memberships and renewals, exhibitor and speaker submissions, procurement forms, and compliance documentation.
