Requirements
  • Vocational training, an apprenticeship, or equivalent experience in a related field.
  • Knowledge and skills developed through 5–7 years of work experience in a related job discipline.
  • Ability to operate in a complex administrative environment with limited oversight.
  • Ability to manage competing priorities, work simultaneously on multiple initiatives, and meet deadlines.
  • Ability to handle confidential and sensitive materials and situations.
  • Strong verbal and writing skills and the ability to communicate clearly and effectively.
  • Customer service skills.
  • Ability to remain calm under pressure.
  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Calendar.
  • Strong analytical and organizational skills.
  • Ability to interact comfortably with physicians, nurses, senior executives, faculty, and staff in a diverse academic healthcare environment.
  • Ability to develop strong and collaborative relationships throughout the organization.
Responsibilities
  • Provide administrative support to multiple faculty members and clinical associates within the department.
  • Process reimbursements and payments for faculty, clinical associates, staff, and students as needed.
  • Maintain calendars for multiple faculty members and clinical associates, as well as conference room schedules.
  • Coordinate meetings within the Section, including food orders and room setup.
  • Assist with preparing presentations, reports, and correspondence.
  • Coordinate travel arrangements and itineraries as needed.
  • Organize ad hoc and regular Section events.
  • Assist with seminar series speakers, including coordinating speaker and visitor visits, preparing itineraries, assisting with travel arrangements, and processing travel reimbursements.
  • Assist with maintaining the Section website and email distribution lists.
  • Provide coverage for other administrative staff as needed.
  • Check and distribute mail.
  • Triage emails and telephone calls for action, particularly those related to Ingalls Memorial Hospital clinic and inpatient services, and resolve routine and some complex inquiries.
  • Prepare special reports and summaries and assist in managing daily office operations.
  • Assist in developing administrative goals and policies.
  • Coordinate special projects as directed by the leader.
  • Prepare write-ups recommending solutions to operational and administrative problems.
  • Manage a portion of the leader's budget by monitoring and reconciling accounts.
  • Prepare financial and administrative reports.
  • Provide administrative support for a leader and coordinate information flow from the leader's office.
  • Stay informed about activities relating to programs and initiatives and apprise the leader of issues when necessary.
  • Perform other related work as needed.
Desired Qualifications
  • Previous experience in an administrative support role.
  • Experience with Oracle and GEMS or similar reimbursement and payment systems.
  • Experience handling a large volume of work often restricted by deadlines.
  • Previous experience in a university, clinical setting, or academic medical center environment.
