Responsibilities
  • Assist the department in managing expectations surrounding pre- and post-patient care.
  • Obtain or review patient demographic information, insurance information, and referral numbers.
  • Review clinical records for completeness, including authorizations, signatures, missing data, and other patient information.
  • Answer and triage incoming department calls, respond to questions, direct calls, document messages, and greet visitors and callers.
  • Work cooperatively with employees to solve problems and support efficient practice operations.
  • Provide coverage for coworkers when assigned or needed.
  • Develop and promote effective communication methods with physicians, managers, peers, trainees, and staff.
  • Maintain confidentiality and adhere to University and unit-level policies and procedures while safeguarding University assets.
  • Coordinate physician schedules for academic and patient-related activities and monitor provider clinical schedules for appointment accuracy.
  • Review no-shows and canceled appointments according to department policy.
  • Follow up on laboratory, pathology, mammography, ultrasound, MRI, ancillary testing, referrals, and procedures as directed by providers.
  • Submit authorization and referral requests for follow-up appointments and procedures.
  • Coordinate physician surgeries and inpatient admissions according to departmental protocol.
  • Coordinate and ensure receipt of financial and medical clearance for surgeries and other duties as assigned.
  • Operate as the primary phone representative using Nice Systems as a call center.
  • Schedule and reschedule new and established patient appointments and schedule patients for in-office or facility procedures.
  • Manage provider bump lists and assist with rescheduling within 48 hours of receiving the list.
  • Process clinical-site and Uconnect customer relationship management requests.
  • Scan patient documentation into charts.
  • Respond to all inbox messages in a timely manner as defined by the division.
  • Manage UChart scheduling inbox messages, including results notes, prescription requests, patient calls, chart copies, and prescription responses, ensuring messages are marked complete.
  • Submit relevant paperwork on behalf of physicians.
  • Assist faculty at Jackson Memorial Hospital when scheduled.
