Requirements
  • An Associate's degree is required.
  • Three years of progressively responsible administrative support experience, including lead experience, is required.
  • An equivalent combination of education and experience is required.
  • Proficiency with Microsoft Suite, FileMaker Pro, virtual collaboration tools including Zoom and Box, and Adobe is required.
  • Knowledge of office procedures, database entry principles, customer service and public relations principles, principles of math, mailing and distribution methods, training principles, leadership principles, intermediate to advanced budget administration principles, inventory and supply maintenance principles, and event planning is required.
  • Ability to communicate and interact effectively, verbally and in writing, with people across diverse backgrounds and cultures is required.
Responsibilities
  • Provide administrative support to a department and serve as principal assistant to senior, director, associate director, or other leadership roles.
  • Perform advanced and complex assignments, including managing department accounts, with minimal direction and independent judgment.
  • Provide work leadership to other support staff.
  • Prepare and review reports and documents; attend meetings and take minutes; oversee office management systems; screen and direct calls; and manage administrators' time and calendars, including travel and project timelines.
  • Integrate best practices to improve the efficiency and effectiveness of service delivery; collaborate with University divisions; develop procedures and schedules; and maintain records and activity reports.
  • Interpret information, policies, and operating procedures for faculty, staff, students, parents, and visitors, and interact with internal and external individuals.
  • Research, analyze, and prepare administrative reports.
  • Supervise support staff as needed by prioritizing and assigning work, ensuring training, conducting performance evaluations, and making hiring, termination, and disciplinary recommendations.
  • Coordinate and oversee highly confidential departmental matters.
  • Direct and coordinate departmental accounts; prepare operating budget data and financial reports; analyze and allocate expenses; coordinate expenditures and property controls; review and approve invoices; and initiate or authorize orders.
  • Serve as a liaison to leadership, administrators, faculty, staff, students, visitors, external agencies, and organizations; arrange accommodations and coordinate activities for visitors.
  • Coordinate and develop informational materials, presentations, communications, and departmental publications, verifying accuracy.
  • Coordinate conference-room and meeting-room use, maintain room and event calendars, and arrange special events, seminars, workshops, and activities.
  • Perform other duties as assigned.
Desired Qualifications
  • A Bachelor's degree is preferred.
  • Intermediate knowledge of hardware and software functionality is preferred.
