General Affairs here is not a passive, protective back-office function that simply handles routine administrative tasks. Working right beside the business, your role is to proactively take ownership of tasks that haven't yet been assigned to anyone—from procurement to meetings, documentation, and office management—building the foundation that drives the organization forward.

The Artificial Intelligence Robotics Association (AIRoA) is an early-stage organization managing a 20-billion-yen national project. As we are still in the process of shaping our operational frameworks, you will have the discretion to build these systems from the ground up.

守備範囲を決めない、“事業を動かす”総務 ― 立ち上げ期の国家プロジェクトを足元から支える

ここでの総務は、決められた事務を回すだけの“守りの管理部門”ではありません。事業のすぐ隣で、購買から会議・文書、オフィス運営まで「まだ誰の担当でもない仕事」を自分から拾い、協会が前に進む土台をつくる役割です。

AIロボット協会（AIRoA）は200億円規模の国家プロジェクトを担う立ち上げ期の組織。総務の“型”もこれから整える段階で、ゼロベースで運営の仕組みを形づくっていける裁量があります。

Overview

As a General Affairs Specialist at the Artificial Intelligence Robotics Association (AIRoA), you will handle a wide range of back-office operations that support the organization’s management. You will not be expected to manage everything from day one; rather, you will start with areas that match your background and skills, gradually expanding your scope of responsibilities after joining.

【Key Responsibilities】

Contract and Document Management (Core Responsibility)
Operational Support for Board Meetings and Key Committees (Preparing materials, drafting minutes, and scheduling)
Secretariat Support for Events
Equipment and Asset Management / Office Environment Maintenance
Administrative Tasks for Payments and Purchasing (Collaborating with accounting)
Cross-Departmental Tasks (Procurement and general administrative support across various teams)

*In this role, you will collaborate across all functions, from business and technical teams to legal and accounting.

*Note: Currently, meeting operations for the Board of Directors are primarily handled by executive assistants; the extent of General Affairs involvement may vary depending on the situation.

① 契約書・各種文書の管理　※中心業務の一つ

② 理事会・各種会議の運営サポート（資料作成・議事録・日程調整）

③ イベント開催時の事務局対応（サポート）

④ 備品・資産管理、オフィス環境の整備

⑤ 支払・発注などの事務（経理と連携）

⑥ 購買や各部門の庶務など、部門横断で発生する業務

※社内は事業・各部門から法務・経理まで“全方向”に連携します。（※現状、理事会等の会議運営サポートは秘書機能が主に担当しており、総務の関与範囲は状況により変動します。）

Established in December 2024, the Artificial Intelligence Robotics Association (AIRoA) operates with two primary missions: "Innovating robotics development technology through the integration of AI and robotics," and "Promoting the practical application of robots in society."

●Future Mission

Upon joining, you will first familiarize yourself with day-to-day General Affairs operations, such as contract and document management, secretariat support for meetings and events, as well as equipment and office management.

Building on that foundation, you are expected to gradually step into higher-level "operations design"—including reviewing existing workflows and creating organizational frameworks that account for collaborations with member companies, universities, and research institutions.

Required Qualifications:

Basic IT skills and business etiquette (Fundamental proficiency in Excel and other software; appropriate conduct in regular meetings and office environments)
Strong interpersonal skills to communicate thoughtfully and respectfully with diverse internal and external stakeholders

Preferred Qualifications:

General Affairs or corporate operations experience in startups or early-stage organizations

Secretariat experience in non-profit entities such as general incorporated associations, foundations, or academic societies

Experience in departmental administrative support or secretarial roles (e.g., handling procurement, general office chores)

Experience setting up operational frameworks for office launches, relocations, or asset/equipment management

Experience participating in drafting internal regulations/rules or building corporate governance frameworks

Background in customer service or hospitality seeking a career transition to a business role (welcomed for your guest-minded and hospitable approach to General Affairs)

Interest in AI, robotics, or deep-tech fields, along with a willingness to learn technical concepts

Basic knowledge of business law and compliance (can be acquired after joining)

We currently operate out of a spacious office and research facility of over 1,000 m² located in the Ryutsu Center area. In this space, our business teams and engineering teams work in close collaboration, advancing both day-to-day operations and R&D with AI robots always close at hand. The facility is frequently visited not only by members of the AI Robot Association, but also by engineers and researchers from partner companies and representatives from member companies. As a result, it serves as a hub where diverse experts at the forefront of AI and robotics gather and interact.
