Requirements
  • At least three years of experience in an administrative capacity, preferably with a government agency or government contract.
  • Understanding and proficiency with business tools and technology, including Microsoft Office.
  • Advanced proficiency with Excel, Access, Outlook, PowerPoint, and Word, and proficiency with Adobe Acrobat, data analytic tools, and Visio.
  • Ability to quickly learn other business tools as necessary.
Responsibilities
  • Serve as an Administrative Assistant for a Division or Office Staff for the General Services Administration in the Heartland Region.
  • Administer, monitor, and control the full range of administrative, clerical, and internal management support functions for the Division or Office.
  • Monitor and maintain existing internal administrative, clerical, and information systems for the Division or Office.
  • Ensure internal processes, procedures, and practices are established, operating efficiently, and providing the Division Director and associates with the information and support necessary to accomplish business-line functions.
  • Manage correspondence, files, directives, mail, phone calls, computer and personal visitors, personnel-related processing, recruitment actions, training and employee-development actions, audit-report processing, office-supply orders, and travel processing.
  • Manage and input time cards for approximately 30–50 associates when assigned.
  • Serve as the focal point and information resource for organizational supervisors and employees regarding administrative procedures and requirements, and provide procedural advice.
  • Continuously review the effectiveness of administrative processes and develop recommendations for improvement.
  • Implement and monitor approved changes to internal administrative processes and coordinate feedback from supervisors and employees to ensure processes support the organization's mission and business-line functions.
  • Coordinate with administrative or contract personnel in other divisions on mail, directives, correspondence, visitor handling, calendar and travel arrangements, files and personnel documents, time and attendance processing, travel and training requests, and critical correspondence for key officials.
  • Perform other administrative duties typical of a commercial-sector administrative assistant as assigned.
