How Attio works and what it takes to set up. A practical look at Attio's object-based CRM, how inbox sync puts threads on every record, realistic setup time, and how it compares to HubSpot and Pipedrive. What is Attio and how does it work? Attio is a CRM you build out of flexible records rather than one you inherit from the vendor. Connect your email and calendar and it pulls in every thread and meeting, so they sit on the contact record next to notes, tasks and comments. It bills itself as the CRM for agentic revenue |, with automations working your pipeline between logins. Underneath the positioning, the data model is objects and attributes. A "person" record, a "company" record, and then any object you invent: deals, candidates, partners, waitlist signups. Each object gets a table view, a kanban view and a set of fields you define. Pipelines are a status field on an object rendered as columns you drag things across. Because the inbox sync is record-level, every thread and meeting appears alongside the contact | without anyone logging it. A recruiter can add a Placements object, link it to both the candidate record and the client company, and it behaves like a native part of the CRM rather than a custom field bolted onto a deal. Attio's own promise is that setup should be instant |, and connecting your inbox and calendar genuinely takes minutes. Deciding what your objects are, what a "stage" means, and which fields you will actually fill in is the part that takes an afternoon. Attio's help centre academy | walks through it in short videos: connect the inbox, set up pipelines, then notes, tasks and email. A sensible first hour for a solo founder: + Connect email and calendar. Every past thread with a prospect appears on their record. + Create one pipeline with five stages, not twelve. New, Conversation, Meeting Booked, Proposal, Closed. + Add three custom fields you will genuinely use: source, ICP segment, and next step date. + Ignore analytics until you have 50 records in the pipeline. Dashboards over an empty table tell you nothing. What makes Attio different from HubSpot or Pipedrive? Customisation depth. Attio lets you define the objects, so a CRM for a recruiter, a PLG SaaS tracking signups and usage, and an agency tracking retainers all end up looking like different products. Attio publishes a guide for product-led growth teams | that treats signups, usage data and renewal dates as first-class records. That flexibility cuts the other way. A CRM you can shape into anything is a CRM you can shape into a mess, and there is no default opinion to fall back on. If nobody on your team wants to own the data model, you will build four fields that mean the same thing by month three: "Source", "Lead source", "Channel" and "How did they find Gelee". Where should LinkedIn outbound activity land in Attio? At the point a human would care, which is the reply. Logging every invite you send fills the CRM with records nobody reads. Create the person record when they accept, write the first reply into the record, and move them to a stage when they say something a salesperson would react to. Here is the arithmetic for why the split matters. At 25 invites a day you send roughly 500 a month. Its published benchmarks are a 20 to 30% accept rate and a 12 to 18% first-message reply rate, so 500 invites produces about 125 connections and 19 conversations. If you log all 500 at two minutes each, that is 16 hours a month. At $100 an hour, $1,600 of your time to maintain records for 481 people who never replied. On a new account the numbers are smaller for the first two weeks, because safe volume there is 5 to 10 invites a day, not 25. A near-empty pipeline in week one is the account warming up correctly. What should actually be a field, and what should be a note? Fields are for things you will filter or count. Notes are for things you will read once before a call. Source, ICP segment, objection type and next step date belong in fields. "She mentioned they are locked into a contract until Q3" belongs in a note, or better, a task dated for Q3. | Stage | Record it as | Benchmark | If you are below it | | Invite accepted | Person record created, source = LinkedIn | 20-30% of invites | Profile and targeting, not copy | | First reply | Note on record, stage = Conversation | 12-18% of accepts | First message is pitching too early | | Follow-up reply | Objection field filled in | 5-8% | Follow-ups are nudges, not new angles | | Meeting booked | Stage = Meeting Booked, calendar event auto-attaches | 3-5% of invites | Offer or ICP, not the CRM | Filling the objection field is what makes the last column usable. If 11 of those 19 monthly conversations stall on price and two stall on timing, you have a pricing page to rewrite, and no amount of follow-up sequencing fixes it. A low accept rate is a profile problem, and rewriting your copy will not move it. The LinkedIn headline rewriter | is the cheaper first move there. Who should pick HubSpot instead? Founders who want marketing and sales from one vendor, and teams who need a CRM their next three hires already know how to use. If your growth plan involves a content site, forms, lifecycle email and a sales pipeline all reporting into the same place, Attio will make you assemble that and HubSpot will hand it to you. There is also a hiring argument. Contract sales ops people and fractional RevOps consultants have worked in HubSpot and Salesforce for a decade. A custom Attio workspace built around your objects is a workspace only you understand, which is fine at four people and awkward at twenty, when onboarding a new rep means explaining why "Placements" exists. Who should pick Pipedrive instead? Anyone whose sales process is genuinely linear and who would rather not design a CRM. If your deals go from lead to demo to proposal to won, and nothing in your business needs a custom object, the flexibility in Attio is a cost you pay in setup decisions and get nothing back for. The test is whether you can name a record type that is not a person, a company or a deal. A recruiter has candidates, roles and placements. A PLG SaaS has workspaces and usage events. An agency selling one retainer to one buyer has none of those, and a fixed lead to won pipeline will hold the whole business on day one. Does Attio do outbound for you? No. It stores the conversation, sends mass email, records call intelligence and runs automations off record changes, per Attio's own productivity page. What it does not do is send 25 LinkedIn connection requests a day in your name, write the reply when someone says "what does this cost", and hold the thread until a meeting is on the calendar. That is the gap Gelee fills. It works inside LinkedIn, writes in your voice, handles objections from your playbook and books the meeting, including a Post Commenters preset that DMs people who comment on a watched post | and then replies publicly once the DM has sent. Setup runs about 15 minutes, there is no self-serve signup, and pricing is shared on a demo call. When is Gelee the wrong tool even if Attio is the right CRM? When your buyers are not on LinkedIn, when your deal size is under $2,000, or when you already employ two SDRs who are hitting quota and just need better tooling. Buying software that does the work instead of your team makes no sense when the team exists and is working. Two cases where the pairing does work well. Recruiters running candidate and client outreach off custom objects in Attio, which is the workflow behind using Gelee for candidate outreach. And solo consultants who need six conversations a week and have nobody to delegate replies to, covered in Gelee for coaches and consultants. If you are running fewer than about 20 live conversations at once, a spreadsheet with five columns will hold them and you will feel no pain. Every record you create in the wrong shape gets migrated by hand later. The trigger is usually the first time you forget a follow-up that was worth money. At 500 invites a month producing 15 to 25 meetings on its 3 to 5% benchmark, you are tracking maybe 60 live threads in a quarter. That is past what a spreadsheet handles well, because each one needs a dated next step and a view that shows you today's. Attio does that on day one. So does Pipedrive. Pick the one whose data model matches what you sell, then stop researching CRMs and go send the invites.
Attio custom objects for outbound activity. OutboundSync can now write outbound email and social events to a single Attio custom object - so you can filter activity, build views, and run workflows once that data lands in Attio, not only read it as Notes on a person. OutboundSync, Inc. shipped the Attio integration earlier this summer with structured Notes for email and social events. Custom objects are what Attio is built around. With them, cold outbound becomes something you can query and automate inside the CRM you already work in. What you can do with Attio custom objects. Notes give you a timeline. The custom object makes Attio's workflows and views useful for outbound. Here's a simple workflow you can build once positive replies land as OutboundSync records: when an outbound reply is positive, check whether the person has a phone number. If they do, create a call task. If they don't, send an HTTP request to a data provider (for example gtm.ai, or any enricher you already use), pull a number through a waterfall if you need to, then create the call task - or fall back to a follow-up in the sequencer inbox tied to that send. That path is an Attio workflow on your records. OutboundSync's Attio beta still syncs email and social only; phone activity is not part of this rollout. The call task is something you create in Attio after the reply lands. What's on the OutboundSync object. OutboundSync, Inc. use one custom object for everything. You are not getting a separate object per event type or platform. At the Attio connection in OutboundSync, you provision the object and its attributes once. It shows up in Attio's left column alongside People, Companies, and the other default objects. Filterable fields cover the usual outbound shape: event type, platform, sequence number, to and from, contact details, subject, message body, and an app URL you can open to jump into the inbox provider. How to enable Attio custom objects. * Connect Attio as a Connected Account in OutboundSync (Attio beta is one-way and onboarded with its team). * Open Attio CRM Settings and create the OutboundSync custom object - or re-sync attributes if it already exists. * Leave Write OutboundSync records on webhook events on so each event gets a structured record alongside the Note. * Send a test event and confirm the Note on the Person plus one OutboundSync record. OutboundSync does not ship prebuilt Attio lists or views. You build them on the object. One useful view is every email reply from campaigns: message body, email address, and the app URL so a rep can open the thread in the sequencer and handle it there. When you go to connect your Attio account in OutboundSync, you're going to define this at the account connection level. 1:32 And you will provision and create the attributes related to that custom object. At the account level, once you do that, you're going to see the OutboundSync custom object show up in that left column, alongside the other primitive or default custom objects, or excuse me, default objects that come with 1:51 your Attio account. Now, all of the attributes that OutboundSync, Inc. is providing that can be filterable across all of these different event types and platforms. 2:00 That's going to be baked in for you. And you're going to see tons of different sales engagement platforms and event types. 2:05 I can just show you a really quick preview of what's included by default.
