Responsibilities
  • Prepares Corporate and seven facilities direct deposit payroll files and ensures direct deposit transactions are transmitted and received.
  • Validates all ACH and payroll positive pay transactions to ensure protection and compliance; resolves ACHs and payroll checks positive pay discrepancies in a timely manner.
  • Prepares wire transfer requests, including payroll taxes and insurance wire transfers.
  • Prepares daily cash position report reflecting current financial standing and immediate future cash needs.
  • Provides documents consultants need for the annual Home Office Cost Report submission.
  • Provides documents external auditors request for audit and year-end review.
  • Handles month-end closing journal entries and accruals for AHMC and Calmeds.
  • Maintains summary of EWB Revolver loan activities and reconciles statement at month end.
  • Maintains mortgage loan balance schedule showing monthly payments and allocation of payments to Calmeds.
  • Provides financial statements for Calmeds when required.
  • Prepares deposit slips for all Calmed rent checks.
  • Prepares listing of outstanding checks.
  • Prepares bank reconciliations ensuring general ledger bank balances tie to bank statements at month end.
  • Assists the corporate financial officer in preparing monthly and combined financial statements.
  • Provides information to controllers such as allocations of EWB Revolver Interest at month-end; summary of monthly health benefits charges; inter-company transaction summaries within three days after period end; prepares insurance allocation schedules.
  • Maintains monthly reconciliations of inter-company balances and works with controllers on differences.
  • Looks for management fees and support service fees from controllers at month end and maintains worksheet of these fees.
  • Initiates the quarterly distribution of management fees.
  • Prepares other summaries as directed by senior management.
  • Helps prepare transmittal request form for payroll funding by wire.
  • Handles inquiries from vendors and outside organizations and responds to requests from other locations.
  • Processes invoices for payments and prints manual checks.
  • Prepares Business Property Statements as required by Los Angeles County.
  • Handles property tax payments; if bill is missing, accesses Los Angeles County website for statement of amount due and requests substitute bills.
  • Prepares summary of payroll tax deposits for calendar years and submits to Employment Development Department with a letter confirming payroll payments.
  • Performs additional duties as assigned.
