Requirements
  • Substantial demonstrated experience in executive support, front office operations, and correspondence management within the Department of Defense or Intelligence Community, specifically supporting Flag Officers or Senior Executive Service personnel.
  • Active Top Secret / Sensitive Compartmented Information clearance.
  • Bachelor’s Degree in Business Administration, Management, Communications, or a related field (preferred).
Responsibilities
  • Manage high-level correspondence control and training, ensuring strict compliance with Department of Defense manuals, instructions, and administrative instructions while adapting to shifting leadership priorities.
  • Provide secondary and supplemental editorial services on Enterprise Administration & Management correspondence, ensuring zero-defect packaging for senior executive review.
  • Use the OUSD(I&S) tasking management system, such as CATMS, to analyze, distribute, track, and report on highly sensitive staff actions, including follow-up on overdue actions to meet suspense dates.
  • Support the planning, development, and maintenance of paperless and physical records management systems compliant with Administrative Instruction 15 across NIPRnet, SIPRnet, and JWICS.
  • Track and manage security reviews, Privacy Act requirements, Freedom of Information Act taskings, and GAO/Inspector General audits, providing leadership with regular status reports.
  • Plan, organize, and facilitate outreach and protocol events for senior-level Department of Defense and political executives.
  • Prepare rapid-turnaround executive travel requirements using the Defense Travel System and manual processes, including coordinating passport and visa applications, White House and agency correspondence, and local embassy runs.
  • Provide physical coverage and administrative cross-support to the USD(I&S) Front Office during surge requirements or impacted manning.
Desired Qualifications
  • Master expertise in executive office management, strategic planning, and flexible problem-solving within a high-pressure environment.
  • Advanced editing, proofing, and revising skills for executive-level correspondence intended for Cabinet-level or Congressional audiences.
  • Deep understanding of Department of Defense protocol, etiquette, and high-level engagements with senior political and military leadership.
  • Proven ability to execute complex executive travel itineraries, premium travel, and diplomatic coordination under short timelines.
  • Familiarity with National Archives and Records Administration standards and multi-network NIPRnet, SIPRnet, and JWICS electronic archival systems.
  • Exceptional ability to address competing priorities, shifting deadlines, and rapid taskings without sacrificing attention to detail.
