Requirements
  • At least 5 years of experience supporting senior executives, ideally multiple executives simultaneously, in a fast-paced and ambiguous environment.
  • Ability to communicate clearly and quickly in written and verbal communications and adapt tone for board members, clients' chief financial officers, and candidates.
  • Ability to handle confidential and sensitive information with integrity, sound judgment, diplomacy, and discretion.
  • Ability to proactively identify needs, propose solutions, and close the loop without waiting to be asked.
  • Ability to remain calm under pressure, adapt when priorities change, and re-plan when meetings or travel arrangements are disrupted.
  • Ability to work collaboratively with people at every level.
  • Ability to build repeatable processes and adopt new tools, including artificial intelligence, to work more efficiently.
  • Experience in executive support, chief of staff work, venture capital, private equity, investment firms, technology, financial services, professional services, consulting, banking, law, hospitality, events, or high-touch client service, with applicable experience managing complex logistics and confidential information.
Responsibilities
  • Own and defend multiple executive calendars, including recurring meetings, resolving complex conflicts, and exercising judgment about which meetings take priority.
  • Coordinate high-stakes meetings end to end, including board meetings, investor updates, client and carrier meetings, executive offsites, and leadership staff meetings.
  • Manage attendee communications, venue coordination, audiovisual setup, catering, and preparation of program materials for meetings.
  • Proactively manage inbound communication and respond to urgent inquiries from internal and external stakeholders on behalf of executives.
  • Assemble briefing materials, research the people and companies involved, and prepare executives for upcoming meetings.
  • Organize and compile data and content for executive presentations, board decks, and investor materials.
  • Build and improve the administrative infrastructure, templates, workflows, and systems that enable executive support to scale.
  • Contribute to the in-office experience through office management, team events, offsites, and client hosting.
Desired Qualifications
  • Experience supporting founders or C-suite executives at a high-growth startup during rapid scaling.
  • Experience as an executive assistant at a venture capital, private equity, or investment firm supporting partners and managing board- and limited-partner-facing logistics.
  • Experience supporting VP-level or higher executives at a large technology, financial services, or professional services firm.
  • Experience in consulting, banking, or law involving precision, confidentiality, and high-stakes coordination.
  • Hospitality, events, or high-touch client-service experience combined with subsequent executive support experience.
