  • Minimum of an Associate’s degree in accounting, business, or a related field; an equivalent combination of education and experience is sufficient.
  • HD truck or automotive dealership service and warranty management experience.
  • Strong knowledge of warranty processes and procedures.
  • Strong knowledge of basic accounting processes, including accounts payable and accounts receivable.
  • Knowledge of diesel engine products and truck repair operations.
  • Proficiency with computer programs such as Microsoft Word and Excel.
  • Excellent oral, written, and interpersonal communication skills.
  • Strong research and problem-solving skills.
  • Ability to present relevant information effectively to a wide audience, both orally and in writing.
  • Ability to build relationships with internal and external contacts and work with people with varied personalities and levels of technical proficiency.

  • High attention to detail and ability to maintain organized files and records.
  • Ability to identify, analyze, and solve problems.
Responsibilities
  • Use in-depth knowledge of original equipment manufacturer and vendor warranty coverage to optimize warranty reimbursement while reducing potential policy expenses and write-offs.
  • Analyze work orders for warrantable work and support branches with work-order story writing for warranty and customer-billable repairs.
  • Ensure the accuracy of work-order comments, parts lists, and documentation.
  • Support branches with claim filing by collecting and analyzing documentation, preparing and filing claims on behalf of branches, serving as a resource during the claim-filing process, and providing feedback to service teams.
  • Review branch-level accounting for original equipment manufacturer payments before posting and make corrections as needed.
  • Monitor branch returns and scrap lists in original equipment manufacturer systems; ensure parts are returned on time using appropriate methods and remaining components are scrapped as needed.
  • Support service operations and proactively monitor original equipment manufacturer initiatives, including campaigns, modifications, cost initiatives, and service updates, using TEC systems to improve branch key performance indicators.
  • Meet regularly with service teams, the corporate service manager, and the fleet team supervisor to monitor progress and goals.
  • Monitor and maintain warranty reporting to improve and sustain warranty processes and ensure compliance with warranty objectives.
  • Maintain knowledge of claim filing, accounting functions, and system use related to warranty administration.
  • Participate in trainings, webinars, and information sessions with original equipment manufacturer partners and communicate updates to branch operations partners.
  • Build relationships with internal partners, including leadership, service managers, service advisors, and service staff.
  • Maintain knowledge of current best practices; recommend improvements to existing practices or create new practices as business needs evolve.
  • Share best practices and inform branch partners about new policies, procedures, and compliance topics.
  • Perform original equipment manufacturer warranty claim audits, ensuring branches have proper documentation and are prepared for audits.
  • Provide post-audit reporting and training as needed to ensure compliance.
  • Establish a system to periodically audit high-risk branch warranty operations for compliance with original equipment manufacturer policies and standards.
  • Research warranty policies and procedures when additional knowledge is needed and share information with the supervisor.
  • Perform and oversee administrative tasks and projects supporting the warranty function and related business operations, including rebate submissions and tracking, certification tracking, and vehicle-data maintenance across internal and external portals.
