Requirements
  • At least 5 years of experience in HVAC, mechanical contracting, or the construction industry.
  • Ability to prioritize, multitask, handle ambiguity, and manage high-volume projects.
  • Experience with project management tools such as Procore, Microsoft Project, and Bluebeam is preferred.
  • Strong personal computer skills in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Ability to establish and grow customer relationships through effective verbal and written communication.
  • Ability to solve problems, negotiate effectively, manage stress, and maintain integrity and trust.
  • Ability to work in an office environment and frequently in the field.
  • Ability to regularly lift or move up to 25 pounds.
  • Ability to perform the physical demands of the role, including standing, walking, sitting, climbing or balancing, and stooping, kneeling, crouching, or crawling.
Responsibilities
  • Manage and oversee administrative tasks assigned by the Project Management team and Operations Managers.
  • Create and maintain job files, project records, and archives in Procore and other customer relationship management systems.
  • Optimize projects through completion, including managing invoices, purchase orders, and expense reports.
  • Manage multiple projects on an ongoing basis.
  • Participate in project meetings and provide follow-up to the team on key actions and priorities.
  • Coordinate and manage Turnkey project management team schedules, prepare meeting agendas, take meeting minutes, and manage project correspondence.
  • Review and process subcontractor invoices.
  • Track and manage project expenses to ensure adherence to budget guidelines.
  • Track project completion progress and maintain accurate, accessible documentation for relevant project stakeholders.
  • Oversee sales-team and subcontractor procurement of materials and equipment required for projects.
  • Develop and grow relationships with customers, contractors, project engineers, and manufacturers.
