  • Communicate effectively orally and in writing.
  • Have technical proficiency in Microsoft Office, ProCore, and Yardi.
Responsibilities
  • Work with Operations and Property Management on the day-to-day operations of the assets, ensuring custodial, life-safety, engineering, site services, and general maintenance are implemented consistently with company policies and client directives.
  • Assist with maintaining the computerized Preventative Maintenance Program, Angus AnyWhere, and monitor, dispatch, and follow up on tenant requests and prepare monthly chargeback reporting.
  • Complete physical inspections and reporting of the property's interior and exterior, correcting deficiencies immediately or reporting them for appropriate action and follow-up.
  • Assist building operations as requested and help ensure optimum operation of the Building Energy/Automation Management system with the Property Manager, Director of Property Management, and third-party energy management consultant.
  • Process accounts payable.
  • Process cash receipts and accounts receivable.
  • Assist in preparing and distributing tenant communications in line with client and company requirements.
  • Maintain up-to-date contact lists.
  • Coordinate and supervise contracts, including periodic service-contract reviews, maintaining the contract log, assisting with tendering, and verifying invoices against contract pricing and purchase orders.
  • Ensure site-specific documentation and financial reports are completed accurately and on time.
  • Assist in preparing and submitting industry awards such as BOMA and LEED.
  • Respond promptly to requests from tenants and occupants.
  • Oversee ongoing contract programs to assess tenant and occupant needs and ensure problems are resolved promptly for tenants, clients, and properties in accordance with contract scope and service-level agreements.
  • Collect, analyze, and report statistical data required to provide current assessments of management objectives, including response times and deliverables.
  • Monitor and ensure that the property complies with environmental legislation, codes, and corporate best practices.
  • Monitor and ensure that tenants and vendors comply with insurance requirements and coordinate claims as required.
  • Assist with developing and preparing budgets, monthly and quarterly financial reports, contracts, expenditures, and purchase orders related to facilities.
  • Assist in preparing and publishing the annual budget, reforecasts, and business plans.
  • Assist in developing capital budgets, including contributions to a ten-year plan for maintenance, facility improvements, and cost-reduction initiatives.
  • Research and report on equipment and systems for purchase or upgrade.
  • Maintain familiarity with the management contract and its requirements.
  • Facilitate and coordinate ongoing open communication with tenants by attending meetings as required, assessing tenant operational concerns, and addressing them to ensure needs are met and assets are appropriately maintained.
  • Perform other administrative, management, property, and client-related duties as assigned.
