Requirements

Responsibilities
  • Serve as the contact for the Georgia Vaccine for Children program.
  • Conduct monthly reviews of vaccine usage, inventory, and eligibility documentation using GRITS, and approve vaccine orders.
  • Analyze data to determine whether the practice effectively carries out current Vaccine for Children vaccine management, storage, and handling policies and procedures.
  • Manage vaccine ordering, inventory and reconciliation, storage and handling, temperature monitoring, vaccine transfers, and emergency plans.
  • Perform job duties under the supervision of nursing leadership.
  • Serve as the immunization resource for assigned providers.
  • Monitor, assess, and evaluate Vaccine for Children providers for compliance with vaccine management, storage, and handling policies and guidelines.
  • Check and record minimum and maximum temperatures daily at the beginning of each clinic day for every vaccine storage unit.
  • Ensure refrigerator temperatures remain between 35 and 46 degrees Fahrenheit (2 and 8 degrees Celsius).
  • Maintain freezer temperatures below 5 degrees Fahrenheit (-15 degrees Celsius).
  • Take immediate action when temperatures are outside appropriate ranges by isolating or quarantining vaccines, downloading data-logger records, checking the time out of range, and consulting the Vaccine Storage Incident Report Decision Tree.
  • Submit a Vaccine Storage Incident Report Form to the immunization field coordinator when needed.
  • Ensure digital data loggers are downloaded by the fifth of each month into OSIIS.
  • Verify that vaccine shipments match their packing slips and that shipping-container temperatures are appropriate for the vaccines received.
  • Store vaccine shipments in the appropriate refrigerator or freezer and ensure the order is received in OSIIS, verifying that the packing slip matches the OSIIS statement.
  • Perform physical vaccine inventories, determine doses administered since the last reconciliation, and resolve discrepancies before submitting information to the registry system.
  • Report days when the practice will be closed during the coming month to prevent vaccine delivery while the site is closed.
  • Provide administrative assistance to the GRITS Vaccine for Children section.
  • Provide technical assistance and advice to internal and external immunization partners and the public to educate, develop, implement, and improve immunization practices.
  • Review and interpret state and federal immunization policies and regulations.
  • Assist management in developing policies, procedures, protocols, and guidelines for continuous program quality improvement.
  • Compile daily reports and reconcile vaccines daily.
  • Contact nursing leadership and GRITS when vaccine may be spoiled to determine viability.
  • Separate wasted vaccine from the main supply and label it “DO NOT USE.”
  • Work with MedCura management to develop and implement long- and short-term goals.
  • Participate in public health emergency response as needed.
  • Stay current with required CDC and GRITS training and ensure clinical assistance staff remain current with those trainings.
Desired Qualifications
  • Experience as a Medical Assistant with the vaccine schedule and administering vaccines is preferred.
