Requirements
  • 3+ years of experience in an administrative support capacity, executive assistant experience a plus
  • In-office presence in the New York office at least three days a week with a fourth onsite day every other week
  • Ability to commute to and from firm office location on regular basis
  • Advanced Microsoft Office skills, including Microsoft Word, Excel and PowerPoint
  • Ability to lift and transport up to 10 pounds
  • Ability to work in a fast-paced environment and deliver work in an efficient and timely fashion
Responsibilities
  • Maintain organized paper and electronic files; design and implement organizational systems where appropriate
  • Coordinate and modify complex travel arrangements (including international) as directed
  • Prepare expense reports
  • Photocopy and scan materials as needed
  • Prepare all materials related to the firm’s billing process in an efficient, timely manner
  • Maintain calendars, schedule meetings, book conference rooms and make reservations as needed
  • Handle incoming and outgoing telephone calls in a professional manner and communicate messages accurately and in a timely manner
  • Maintain contact management system and manage contact communication processes as needed
  • Complete daily diaries for timekeepers accurately and on time
  • Type, prepare, revise and process legal documents, correspondence, memoranda, presentations, and occasional court documents using standard Microsoft Office products
  • Proofread work products to ensure they are complete and accurate
  • Become familiar and stay up to date with firm policies, legal procedures, matters, and clients relevant to assigned practice area(s)
  • Operate with discretion, professionalism, and courtesy at all times, particularly with sensitive or confidential information
  • Participate in firm provided training programs and apply learned skills to work products
  • Maintain a neat, clean work area
  • Other duties as assigned
Desired Qualifications
  • 3+ years of experience in an administrative support capacity, executive assistant experience a plus
  • Prior experience in a law firm preferred but not required
  • Intellectual property experience a plus
  • College degree preferred but not required
  • Familiarity with formatting legal pleadings, drafting simple correspondence, and prior experience proofreading correspondence, memoranda, and pleadings is a plus
  • Strong client service orientation
  • Excellent verbal and written communication skills
  • Demonstrated ability to listen to others, follow instructions and accept feedback
  • Ability to work effectively with others
  • Flexibility to work outside standard business hours as needed
  • Compensation range is $76,000 to $105,000 commensurate with related experience and qualifications.

Foley Hoag has launched a First Amendment and Media practice group, adding nationally recognised First Amendment litigators Michael Grygiel and Kelly McNamee as partners. Christina Hernsdorf joins as an associate, with all three based in New York. Grygiel and McNamee, who have practised together for a decade, represent media organisations, publishers and content creators in high-stakes First Amendment matters. Their notable cases include successfully defending five Gannett newspapers against defamation claims by Nicholas Sandmann and obtaining dismissal of Candace Owens' lawsuit against USA TODAY. Grygiel, ranked in Chambers USA and recognised as a Law360 MVP in Media & Entertainment, will chair the new practice group. Steven Wright joins Foley Hoag as chair of Insurance Recovery practice. March 10, 2026 Foley Hoag announced today that Steve Wright has joined the firm as a partner and chair of its Insurance Recovery practice, bringing more than two decades of experience representing corporate, financial, nonprofit, and governmental policyholders on insurance coverage matters and in high-stakes disputes. Wright advises policyholders and litigates on their behalf in matters involving directors and officers (D&O) liability; errors and omissions (E&O)/professional liability; commercial general liability; fidelity and crime policies; product contamination and recall; and property and specialty insurance policies, including cyber insurance.
