Requirements
  • A high school diploma and four years of relevant experience in business management, public administration, or administrative services, or a bachelor's degree and two years of experience in those areas.
  • Ability to perform the specified physical job functions, including working in upright, seated, walking, indoor, and occasional outdoor or confined-space positions.
  • Ability to use both hands and arms, perform repetitive and fine motor movements, reach in all directions, and maintain finger dexterity and tactile sensory functions.
  • Ability to lift, carry, lower, push, and pull objects weighing up to 15 pounds without assistance.
  • Ability to maintain corrected 20/40 vision, recognize objects at close and far distances, discriminate between colors, perceive depth, and maintain peripheral vision.
  • Ability to maintain hearing acuity with correction and understand whispered conversations at a distance of three feet.
  • Ability to work in dusty areas when required.
Responsibilities
  • Perform standard management support services for the Division of Cardiology, including liaison duties, light personnel duties, procurement, office management, administrative support, meeting coordination, document delivery, and daily administrative activities.
  • Make recommendations to the Division Administrator regarding procedural improvements in office operations and proactively seek solutions and operational improvements.
  • Manage maintenance and fix-it requests, including HVAC issues, lighting, phones, security access, and furniture procurement and movement.
  • Coordinate and prepare division-related office purchases from various funding sources in accordance with procurement guidelines.
  • Collaborate with the Division procurement team on vendor setup and payments while ensuring compliance with State and Medical University of South Carolina procurement regulations.
  • Triage incoming correspondence by reading and routing it to the appropriate individual or department.
  • Oversee the administration and maintenance of divisional medical-record documents and activities.
  • Receive and triage patient-care calls from patients, families, and agencies in a professional manner.
  • Respond to inquiries from physicians and Division staff in a timely manner.
  • Communicate clearly and professionally with clinical teams, non-clinical staff, and other stakeholders while maintaining confidentiality when conveying sensitive information.
  • Ensure leave requests are submitted promptly and align with ambulatory access and Division policies.
  • Coordinate details and logistics for special events, including continuing education conferences and departmental projects, and monitor timelines and deadlines.
  • Ensure providers' curriculum vitae are regularly updated and uploaded in Interfolio or an equivalent faculty information system.
  • Perform other duties assigned by the Division Administrator to support Division and Department initiatives.
