Responsibilities
  • Develop, provide, evaluate, and assess academic advising services, programs, and projects for the Faculty of Arts.
  • Assess students' academic records and histories to help them identify academic specializations aligned with their personal and career goals.
  • Inform students about admission-to-major and degree-completion requirements and teach them to use ongoing degree-planning tools.
  • Evaluate students' use of degree-planning tools and investigate and resolve discrepancies or technical difficulties.
  • Coach students regarding career, post-graduate study, and professional-program options; provide information, make referrals, and encourage appropriate action.
  • Investigate and resolve inquiries from Admissions, Enrolment Services, Access and Diversity, Counselling Services, other faculties, and university units.
  • Interpret and apply university and faculty policy to individual student programs and propose exceptions where appropriate.
  • Identify gaps or problems in university and faculty policy or program guidelines, liaise with relevant offices and departments, implement changes, and recommend alternative policies.
  • Anticipate student needs, respond to requests, provide subject-matter expertise and professional advice, and make referrals where appropriate.
  • Adjudicate academic-concession requests by evaluating documentation and liaising with instructors, medical professionals, and student-service professionals.
  • Create a safe and welcoming environment for students with mental-health concerns and initiate appropriate supports and referrals.
  • Connect at-risk students with resources and supports, including engaging the University's Early Alert system.
  • Interpret and apply admission policies and adjudicate internal-transfer, readmission, and continuation appeals through membership on the Arts Advisory Committee on Appeals.
  • Advise students required to withdraw or seeking readmission and adjudicate appeals to continue or return to studies.
  • Interpret and apply faculty policy to adjudicate requests to study outside UBC and determine graduation and continuation requirements.
  • Evaluate transfer credit, determine remaining program requirements, and authorize transfer-credit changes where appropriate.
  • Admit current students to the Faculty of Arts Commerce minor.
  • Evaluate personal profiles of international applicants for admission to the Faculty of Arts.
  • Develop relationships with counsellors, parents, and prospective students through presentations and email correspondence to support student recruitment and yield.
  • Design, implement, and evaluate retention programs, including workshops, technical resources, outreach programs, and cross-campus initiatives.
  • Work with other units to develop university-transition and student-development programs.
  • Participate in the ongoing development of university student information systems and services.
  • Evaluate advising services and make strategic recommendations for improvement and growth.
  • Design, build consensus for, implement, communicate, assess, and recommend further action for an assigned student-advising project.
  • Participate in recruiting, hiring, and training professional advisors and other staff as needed.
  • Recruit, hire, and train student staff.
  • Participate in developing operating policies to improve efficiency.
  • Conduct research and prepare briefs, data, and reports related to advising services and information technologies.
  • Participate in strategic planning and prepare promotional materials for the Faculty of Arts.
  • Initiate and drive technological change to support the Faculty of Arts' pedagogical values.
  • Serve on cross-campus committees as required.
  • Supervise clerical staff and student workers, including peer advisors, co-op students, and Work Study or Work Learn students, as assigned.
Desired Qualifications
  • A bachelor's degree such as those offered by the Faculty of Arts, including a Bachelor of Arts, Bachelor of Fine Arts, Bachelor of Integrated Engineering, Bachelor of Music, Bachelor of Media Studies, or Bachelor of Social Work.
  • Experience in post-secondary advising, counseling, or administration; UBC experience is preferred.
  • Knowledge of SIS/SISC.
  • Demonstrated experience and commitment to equity and diversity.
  • Ability to travel outside UBC.
  • Fluency in a Southeast Asian language, Mandarin, or another language.
  • Experience applying technology to improve student or client services.
