About the job
- An associate degree or high school diploma is required.
- At least five years of experience as an executive assistant is required; C-suite support experience is preferred.
- Experience with Microsoft Office, including Word, Excel, Outlook, and PowerPoint, is required.
- Ability to organize and prioritize workloads to meet deadlines is required.
- Effective oral and written communication skills are required.
- Ability to interpret, adapt, and apply guidelines and procedures is required.
- Ability to use good judgment regarding administrative issues is required.
- Telephone etiquette skills are required.
- Ability to communicate effectively with managers and co-workers is required.
- Ability to use good judgment and maintain confidentiality of information is required.
- Provide administrative support.
- Build successful relationships with executives and executive assistants across Ardent’s network of hospitals.
- Manage, prepare, and distribute executive correspondence.
- Prepare, revise, and review operational reports, presentations, reference materials, policies and procedures, contracts, PowerPoint presentations, Word documents, and Excel spreadsheets.
- Maintain daily calendars and schedules for designated corporate staff members using Microsoft Outlook.
- Maintain confidentiality and provide priority updates and alerts to the executive team.
- Coordinate on-site and off-site meetings and conferences, including hotel and travel arrangements, itineraries, support materials, meal planning, and related tasks.
- Coordinate travel arrangements for department members.
- Process and submit travel expense reports for the department to ensure timely reimbursement.
- Provide support to departments as needed to cover absences or heavy workloads.
- Maintain an accurate and efficient filing system.
- Perform other duties as assigned.
- A bachelor’s degree is preferred.
- C-suite support experience is preferred.
