Requirements
  • A high school diploma is required.
  • Two to three years of related operations experience are required.
  • Proficiency in Microsoft Word and Excel is required.
  • Experience with databases and the ability to learn new software applications, including the EMS reservation system, are required.
  • Experience with web page management is required.
Responsibilities
  • Oversee the daily operations of the Collaborative Learning & Innovation Complex administrative office and serve as the staff contact for internal and external constituents.
  • Provide administrative support to the Director.
  • Assist the Director with maintaining and reconciling department budgets.
  • Schedule meetings and prepare, file, copy, and collate documents as requested.
  • Manage the building website and electronic mailing lists.
  • Order and manage office and building supplies.
  • Manage office equipment and maintenance agreements.
  • Serve as the office and building contact for the university facilities and maintenance department.
  • Attend staff meetings as scheduled.
  • Assist with hiring, train, and supervise 10 to 20 student Office Assistants.
  • Create schedules and delegate daily responsibilities to Office Assistants.
  • Provide direction, guidance, and evaluation for Office Assistants.
  • Process weekly payroll for student employees.
  • Manage room reservations for meetings and events within the shared spaces of the complex.
  • Ensure that users follow policies and procedures related to event size, Tufts Public Safety Department detail requirements, facilities work orders, and overall use of the complex.
  • Provide administrative and operational support to other spaces overseen by the Office of Academic & Research Spaces at the Director's discretion.
  • Manage front-office responsibilities, including supplies, office equipment, and maintenance agreements.
  • Manage the needs of the CLIC Administrative Hub and Reception Area throughout the day.
  • Track and update administrative hub equipment and paperwork.
  • Serve as a liaison to occupants and users of CLIC and provide administrative support to departments and programs within the complex.
  • Manage card access and key distribution for the complex.
  • Manage CLIC website content under the Director's direction.
  • Update and generate informational display content within the complex.
  • Maintain electronic contact lists for CLIC occupants and distribute operational updates.
  • Serve as a direct contact for Tufts Facilities regarding regular complex maintenance and submit appropriate work orders.
  • Serve as a direct point of contact for Tufts Public Safety within the complex.
Desired Qualifications
  • A bachelor's degree is preferred.
  • Experience in higher education is preferred.
