  • A high school diploma or equivalent education is required.
  • Previous leasing associate experience is required, with the experience level varying according to the property's special needs.
  • Proficiency in Microsoft Office, particularly Microsoft Excel and Microsoft PowerPoint, is required.
  • The ability to work scheduled hours plus any additional hours necessary to complete the job is required.
  • The position requires standing and walking or sitting as needed, bending, stooping, squatting, climbing stairs, pushing, pulling, reaching above the shoulder, filing, opening and closing doors or drawers, grasping, turning, writing, and typing.
  • The position requires frequent lifting and carrying of paperwork, deliveries, files, and miscellaneous items weighing less than 20 pounds.
  • A professional image, multitasking ability, strong communication, customer service orientation, organizational and time management skills, and strong administrative ability are required.
  • A background screening and drug screening are conditions of employment.
Responsibilities
  • Select and screen residents according to the property's current Resident Selection Criteria and the Operations Manual.
  • Process subsidized and market applicant applications in a timely manner and prepare them for submission to the New Jersey Housing Mortgage Finance Agency for approval.
  • Prepare vacancy reports, traffic reports, and move-out notice status reports, and send them to CRM Residential and the Regional Manager each Monday morning.
  • Maintain the property's waiting list according to New Jersey Housing Mortgage Finance Agency and CRM Residential guidelines.
  • Maintain the Leasing Center in an orderly and professional manner, keep displayed materials and refreshments current, and prepare handout materials in advance.
  • Follow up with applicants who have not submitted required paperwork or completed applications, including making telephone calls and mailing thank-you and greeting cards to Leasing Center visitors.
  • Answer telephones and make appointments for interviews and apartment showings according to established procedures.
  • Coordinate with the Maintenance Supervisor on projected ready dates for pre-leased apartments and maintain the vacancy board in the Management Office so it matches the weekly vacancy report.
  • Follow up with individuals listed on traffic reports who have not submitted applications and invite them to complete the required paperwork.
  • Maintain accurate and current resident information cards, including names, addresses, telephone numbers, move-in dates, and apartment sizes.
  • Manage Leasing Center supplies, maintain cleanliness, and report maintenance problems.
  • Attend seminars and trade association meetings recommended by the New Jersey Housing Mortgage Finance Agency and CRM Residential.
  • Prepare quarterly competitive-area marketing surveys, comparison grids, and suggestions for the Executive Vice President, Regional Manager, and Community Manager, and shop the competition quarterly.
  • Participate in move-in orientation by delivering welcome gifts, introducing new residents to immediate neighbors, sending welcome or thank-you letters, and calling new residents one week after move-in to ask whether the apartment is satisfactory.
  • Provide the weekly vacancy report to CRM Residential's Occupancy Department and maintain the vacancy manual with accurate move-in and move-out dates.
  • Prepare a draft annual marketing budget and marketing plan for the Community Manager as part of the annual budgeting process.
  • Report directly to the Community Manager and complete other assigned job-related tasks.
  • Prepare and coordinate semi-annual resident surveys about social events and property or apartment improvements.
  • Assist office staff with resident parties and crime watch programs.
  • Review resident exit interviews when move-out notices are submitted.
  • Draft a Leasing Procedures Manual for management review and approval before formal implementation.
