  • Ability to learn and work effectively with automated and productivity systems for procurement and travel is required.
  • Ability to interpret and apply organizational policies and procedures in accordance with state and federal guidelines is required.
  • Demonstrated customer service experience and ability to communicate effectively, verbally and in writing, with a diverse population of faculty, staff, and students is required.
Responsibilities
  • Provide administrative support for the department chair, faculty, and office, including receiving and distributing packages, assisting with department communication and technological support, and providing faculty personnel services.
  • Serve as the first point of contact for office visitors, students, parents, and faculty by answering or referring inquiries by telephone, email, or in person.
  • Coordinate travel arrangements for faculty, students, field trips, guest lecturers, faculty candidates, and artists.
  • Liaise with campus units to facilitate transactions and procurement of equipment and services.
  • Facilitate hiring processes for student employees, faculty, hourly, operational, and grant-funded positions.
  • Assist with course scheduling and registration processes, including course changes, student overrides, additional classes, honors applications, and independent studies.
  • Facilitate faculty recruitment and hiring processes while ensuring compliance with applicable policies and procedures.
  • Provide records management for student files and department records in compliance with retention guidelines.
  • Inventory, order, and maintain office equipment and supplies in compliance with state procedures.
  • Receive and distribute mail, maintain mailboxes, receive packages, validate contents against packing slips, and distribute packages and packing slips.
  • Maintain group calendars and provide administrative support for meetings, lectures, guests, special events, and academic programs or initiatives.
  • Assist with planning and executing special events, including graduation and homecoming activities, by coordinating catering, logistics, agendas, and materials.
  • Draft correspondence and email on behalf of the department or as drafts for the chair.
  • Record minutes for bi-monthly department meetings.
  • Prepare gift acknowledgement letters for the chair's signature.
  • Liaise with campus departments such as information technology and facilities management to schedule services and rooms, troubleshoot problems, and place work orders.
  • Resolve routine problems and refer complex matters to the supervisor or chair.
  • Assist with vouchers, invoices, travel authorizations, and expense reimbursement requests.
  • Verify federal I-9 employment eligibility using the online verification system.
  • Develop and disseminate notifications and promotional materials concerning research, scholarship, education, and learning opportunities.
  • Make routine website updates to faculty lists, biographies, and office hours.
  • Coordinate with the Office of the Arts Publicity Manager and Box Office Manager to support departmental productions.
  • Manage and approve routine office procurements within delegated budget authority, including supplies, equipment, services, vendors, contracts, memberships, and subscriptions.
  • Create and maintain application rubrics and interview questions.
  • Coordinate candidate interview schedules and travel.
  • Assist with management of course evaluation processes.
  • Convert and store files electronically.
  • Maintain unit, program, and student records, including student major and minor records, meeting minutes, curricula vitae, course offerings and evaluations, personnel files, and fundraising information.
  • Collaborate with the course scheduler and chair to complete and submit edited course schedules to the Registrar's Office.
  • Enter course schedules in accordance with university timelines.
  • Coordinate course schedule changes with the Registrar.
  • Coordinate with the Scheduling Office for non-academic events.
  • Compile student applications for honors programs and independent studies, distribute complete packages for faculty review and approval, and submit approved honors applications.
Desired Qualifications
  • A bachelor's degree or an equivalent combination of education, experience, and training is preferred.
  • Familiarity with personnel processes for instructional faculty, including promotion, tenure review, and merit.
  • Knowledge of general employment and hiring practices and procedures.
  • Working knowledge of Commonwealth of Virginia and university policies and procedures.
  • Experience working in a higher education office environment.
  • Experience coordinating travel arrangements.
  • Experience with productivity systems and applications such as Banner, Workday, Qlik, BuyW&M, and Chrome River.
