Responsibilities
  • Support PACAF Aviation Squadron Administrative Support for the United States Air Force.
  • Coordinate with the training officer, squadron aviation resource management, UDM, and Operations Officer to arrange schedules for operations, qualification, upgrade, test, exercises, and continuation training in accordance with Operations Officer priorities.
  • Coordinate with the Weapons Officer or Operations Officer on aircraft configurations two weeks prior and ensure operations, maintenance, and ammunition schedules are synchronized.
  • Build long- and short-range flight schedules to ensure full coverage of aircrew, instructor, evaluator, support personnel, and supervisor positions.
  • Coordinate with senior squadron leadership on a daily and weekly basis.
  • Track when crewmembers will be on leave, on temporary duty, have scheduled medical appointments, or have other scheduling commitments.
  • Deconflict crewmember schedules and work with flight leadership to ensure crews are available to meet assigned sortie taskings.
  • Track daily flight, ground, and academic training requirements and accomplishments to facilitate accurate flight scheduling as directed by the Operations Officer.
  • Facilitate last-minute schedule changes to ensure full coverage by working with the current mission commander, operations supervisor, or equivalent and the flight responsible for an understaffed shift.
  • Obtain aircraft and equipment availability data from maintenance and schedule crewmembers for training, exercises, simulators, and operations as required.
  • Publish and post scheduling data for unit long- and short-range ground, academic, flying, and simulator training event schedules on PEX, GTIMS, GDSS II, or other computer database systems.
  • Determine flight, ground, and simulator schedule requirements for upgrade, initial qualification, requalification, transition, currency, and continuation training based on syllabus requirements, student progression, weather, and daily equipment or training-range availability.
  • Perform daily updates of scheduling data to compensate for changing conditions and training completion rates.
  • Coordinate with the Operations Support Squadron Plans department, outside agencies, exercise participants, and higher headquarters, including RED FLAG, GREEN FLAG, and Weapons School support, for reporting and exercise or special-event schedule coordination.
  • Correlate sortie length and airspace requirements with syllabus requirements.
  • Create, submit, and file AF Form 1801s, diplomatic clearances, altitude reservations, and other Host Nation or local-procedure forms required for flying operations.
  • Assist the Operations Officer in building the unit Annual Flying Hour Program.
  • Ensure all Flight Information Publications are current and accessible to aircrew.
  • Update data in PEX, GTIMS, future equivalent systems, and locally developed computer database systems as required.
  • Coordinate with the training officer to review and update student and permanent-party records, folders, and grade books in accordance with applicable Air Force Instructions, including AFI 11-202V2 and AFI 11-2MDS-V2, associated MAJCOM and installation supplements, and locally developed guidance.
  • Notify crewmembers, scheduling personnel, and unit leadership of upcoming and overdue testing, evaluation, and training requirements by email, telephone, or in person.
  • Perform testing administrator duties and functions for the unit.
  • Conduct monthly reviews of aircrews entering the first month of their evaluation eligibility period.
  • Perform other duties as needed.
Desired Qualifications
  • Possesses a Top Secret clearance.
  • Experience working with PEX, GTIMS, or a similar proprietary scheduling program.
  • Experience working in a Flying Squadron, Group, Wing Stan/Eval office.
