Requirements
  • College graduation or an equivalent combination of experience and training is required.
  • One year of relevant administrative experience is required.
Responsibilities
  • Review applications in Slate for program suitability and review applicant files with the Director.
  • Send weekly or more frequent recruitment updates to the Director.
  • Extend invitations to appropriate applicants for Interview Days and handle all logistics for their visits, including arranging virtual interviews for applicants unable to attend.
  • Prepare applicant biography grids, interview schedules, and lunches with current students for applicants.
  • Oversee student registration within the UR Student system.
  • Manage working reports and class schedules.
  • Support faculty in updating and reviewing courses.
  • Coordinate logistics for the Master of Science in Marriage and Family Therapy Orientation session.
  • Schedule rooms according to faculty teaching schedules for Fall, Spring, and Summer semesters.
  • Distribute and collect course evaluations.
  • Manage the post-degree registration process in UR Student.
  • Process training program requests in UR Procurement, including invoices and requisitions.
  • Order supplies for the clinical area for faculty and students.
  • Maintain student files and coordinate with GEPA regarding ongoing requirements or changes at student exits.
  • Prepare Programs of Study, obtain signatures, and deliver them to GEPA.
  • Handle licensing-related forms and correspondence, ensuring forms are completed correctly with a notarized supervisor signature.
  • Send licensing documents to the appropriate state agency by FedEx and provide a copy to the licensee.
  • Maintain Excel lists of alumni, applicants, and other program records.
  • Distribute and collect site agreements, supervision feedback forms, and clinical practicum evaluations, and track collection for timely data entry.
  • Run monthly and quarterly reports of students’ clinical hours needed for graduation through Time2Track.
  • Manage the annual calendar for program activities, including data collection and reporting.
  • Prepare the Annual Report due January 31 each year.
  • Manage correspondence related to annual reports.
  • Lead preparation of the COAMFTE Self-Study required every six years.
  • Complete aggregated data collection for the annual retreat, including student and alumni surveys, faculty surveys, employer surveys, course evaluations, practicum evaluations, supervisor feedback, student achievement, clinical-hour logs, caseload-diversity tracking, portfolio rubrics, exit-interview comments, MP-title lists, semester learning goals, alternative-hours experiences, and resource needs.
  • Plan Family Therapy events by coordinating invitations, catering, entertainment, gifts, and related logistics.
  • Coordinate the Training Program’s Annual Retreat, annual Master of Science in Marriage and Family Therapy Graduation Dinner, annual Medical Family Therapy Intensive, biannual Assessment Days, student semester meetings, informational open houses, orientations, and program exits.
  • Use SurveyMonkey when required to collect evaluation information and present reports to interested parties.
  • Perform other duties as assigned.

  • Proficiency in Microsoft Word, Microsoft PowerPoint, Microsoft Outlook, Microsoft Excel, and Windows 7.
  • Proficiency navigating the internet and learning new technological platforms.
  • Knowledge of Microsoft SharePoint.
  • Knowledge and proficiency of Kentico.
  • Knowledge of UR Student.
  • Knowledge of Procure to Pay.
  • Responsibility, self-direction, customer service orientation, strong organizational skills, and the ability to triage operations-related situations.
  • Ability to draft grammatically correct, proofread, effective, professional, and welcoming communications.
  • Strong interpersonal communication skills and the ability to build positive, productive work relationships.
  • Ability to interact respectfully and productively with administrative assistants, managers, high-level officers, and university senior administrators.
