Requirements
  • A minimum of 6–10 years of experience in an office or business environment, which may be a combination of education and work experience.
  • Expertise in Microsoft Word, Outlook, Excel, and schedule management.
  • Experience supporting multiple customers of a manager’s staff of 5–40 individuals.
  • Strong clerical, administrative, and organizational capabilities.
  • Proficiency in the Microsoft Office environment, Microsoft messaging and collaboration software, Word, Outlook, Excel, PowerPoint, and internet management tools.
  • Familiarity with, or ability to learn, technology management tools used at Hanford.
  • Responsiveness and customer service skills.
  • Ability to work in a fast-paced, high-stress environment on highly visible workloads with relative autonomy.
  • Ability to manage workload with minimal supervision based on work priorities.
  • Ability to set and achieve goals while working as an individual contributor or as part of a team.
  • Ability to work under pressure and within established guidelines.
  • Ability to produce high-quality work with proper grammar, spelling, and punctuation in accordance with the DOE Hanford Correspondence Manual and general office materials and guides.
  • Compliance with site-specific safety and security requirements, including badging and office protocols.
  • Regular attendance and good timekeeping practices.
  • A High School Diploma.
  • U.S. Citizenship.
Responsibilities
  • Screen calls, visitors, and incoming correspondence and respond to requests for information concerning office procedures.
  • Prepare routine non-technical and complex correspondence and assist in preparing management reports and documents.
  • Coordinate information to facilitate task completion and prepare presentation materials.
  • Review outgoing materials and correspondence for internal consistency and conformance with agency procedures, and interface with technical staff to bring activities to closure.
  • Schedule appointments, arrange meetings, assemble established background materials, and, as directed, attend meetings and record and report proceedings.
  • Schedule and set up conference rooms and offices for DOE headquarters teams and visitors.
  • Perform data entry to enter, retrieve, change, and present text, tabulations, or statistical data.
  • Submit requests or place orders for printer and copier toner and cartridges and distribute them as appropriate.
  • Prepare paperwork for office moves in coordination with the Facility Manager and Hanford Management.
  • Maintain office supply inventories and organize deliveries to and from the Stevens Center Complex in Richland, Washington.
  • Assist with market research to support and maintain office supplies and ancillary services.
  • Collect data to support budgeting activities for additional office supplies and ancillary service needs.
  • Assist federal counterparts with P-Card purchase actions and ensure actions comply with DOE-Hanford procedures.
  • Assist with day-to-day management of office supplies by coordinating requirements, tracking deliveries, assisting with orders, and ensuring office supply needs are met.
  • Assist with or provide backup for the Manager’s Office Secretary as needed.
Desired Qualifications
  • Advanced proficiency with Excel, Access, Outlook, PowerPoint, and Word.
  • Proficiency with Adobe Acrobat, data analytic tools, and Visio.
  • Ability to quickly learn other business and technology tools as necessary.
