Requirements
  • A bachelor's degree and three years of relevant program experience.
  • Ability to perform the specified physical job functions, including working in upright, seated, walking, indoor, outdoor, confined, kneeling, squatting, pinching, reaching, lifting, carrying, pushing, pulling, visual, auditory, gross-motor, fine-motor, and dusty-area conditions as required.
  • Ability to maintain confidentiality while conveying sensitive financial information.
  • Compliance with Federal, State, and Institutional policies and award-specific regulations and requirements.
  • Ability to communicate program matters and financial information clearly and professionally with diverse stakeholders.
Responsibilities
  • Manage assigned external clinical contracts, programs, and projects to assess new requests, financial performance, and operational effectiveness.
  • Oversee contracts to ensure payments, renewals, extensions, and terminations are processed timely.
  • Partner with Division Administrators to review the financial viability of new service requests and prepare proposals.
  • Prepare monthly scorecards with key performance indicators on external partnerships.
  • Reconcile program financials monthly to ensure services are paid timely.
  • Lead, prepare, and manage the Nephrology and Hospital Medicine Divisions' unrestricted and restricted budgets.
  • Use OurDay reporting tools to analyze financial performance, identify trends, and forecast financial outcomes.
  • Prepare regular financial reports, including budget variance analyses, revenue projections, and expenditure tracking.
  • Prepare and manage the divisions' cFTE file for more than 90 faculty and advanced practice providers.
  • Prepare and manage the divisions' wRVU Tracker, including adjustments for additions, departures, and buydowns.
  • Manage the faculty at-risk salary plan for divisional faculty.
  • Support long-term financial planning through revenue forecasting, expense projections, and resource allocation strategies using budgeting software.
  • Assist in developing financial models and scenarios to evaluate the financial impact of initiatives, projects, and strategic plans.
  • Collaborate with Division Administrators to identify process improvements and efficiency enhancements in financial operations, systems, and procedures.
  • Complete the monthly OurDay financial management checklist with Division Administrators.
  • Develop, monitor, and manage annual operating budgets aligned with strategic priorities and resource allocation.
  • Provide guidance to division administrators and faculty on expense tracking, budget reallocations, and cost-saving opportunities.
  • Complete and coordinate quarterly effort/activity reports, quarterly principal investigator reports, and monthly budget-to-actual reports.
  • Oversee personnel effort and funding for faculty, staff, research grant staff, postdoctoral researchers, and temporary employees.
  • Use OurDay reporting tools to manage programs, projects, and grants, including budget preparation, data collection, and document routing.
  • Coordinate with principal investigators, the Office of Clinical Research, program leadership, sponsors, the Office of Research and Sponsored Programs, and Grants and Contracts Accounting to complete and distribute reports.
  • Prepare monthly financial reports for principal investigators and department leadership and process amendments as needed.
  • Monitor and resolve cash deficits and track commitments made by department leadership.
  • Develop and implement solutions for grant management and notify department leadership of important issues.
  • Work with Grants and Contracts Accounting on timely closeout of sponsored projects.
  • Manage funds proactively to prevent overspending and ensure faculty and staff salaries are encumbered to the proper programs, grants, and projects.
  • Anticipate problems and implement measures to prevent problematic issues.
  • Respond to inquiries through email, meetings, and other business communication channels.
  • Present high-level overviews and detailed financial data, including variance explanations, at monthly leadership meetings.
  • Prepare for and participate in faculty meetings.
  • Meet routinely with program faculty and grant principal investigators to review the status of contracts, grants, and sponsored agreements.
  • Perform other duties assigned by Department of Medicine Administration to support departmental initiatives.
Desired Qualifications
  • Proficiency in Microsoft Excel and experience with enterprise financial systems such as Workday and Axiom.
  • Strong analytical skills to interpret complex financial data, identify trends, and develop actionable insights.
  • Ability to prioritize tasks, meet deadlines, and work independently in a fast-paced environment.
