Requirements

  • Payroll knowledge, including payroll systems, legislation, and regulations, is required.
  • Ability to read, write, and communicate in English is required.
  • Advanced computer literacy is required.
  • Proficiency in Microsoft Office Suite, including Excel and Word, is required.
  • Knowledge of basic accounting principles, documentation, research and resolution, data analysis, and multi-tasking is required.
  • Thorough knowledge of applicable accounts payable and general ledger systems and procedures, financial chart of accounts, and corporate procedures is required.
  • Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication, and division quickly and accurately is required.
  • Ability to work independently and with a team in a fast-paced, high-volume environment with emphasis on accuracy and timeliness is required.
  • Ability to follow standard filing procedures is required.
  • Ability to maintain strict confidentiality, discretion, and tact is required.
  • Ability to meet strict deadlines, remain organized, and manage multiple tasks is required.
  • Ability to work required overtime is required.
  • At least two years of accounts payable experience is required.
  • At least two years of prior payroll experience is required.
  • The employee must be able to qualify for licenses and permits required by federal, state, and local regulations.
  • A pre-employment drug screen and background check are required.
Responsibilities
  • Process weekly payroll and maintain related payroll records, reporting, and deductions.
  • Audit timekeeping and attendance systems for accuracy and report issues to the appropriate departments.
  • Work with accounting to maintain accurate federal and state reporting.
  • Prepare special reports as requested.
  • Serve as the primary contact for team members and department managers regarding payroll questions, verifications, and issues.
  • Perform accounting duties, including receiving payments and processing, verifying, reconciling, and paying invoices according to established policies and procedures.
  • Reconcile processed work by verifying entries and comparing system reports to balances.
  • Charge expenses to accounts and cost centers by analyzing invoice and expense reports and recording entries.
  • Maintain accounting ledgers by verifying and posting account transactions.
  • Verify vendor accounts by reconciling monthly statements and related transactions.
  • Review invoices for appropriate documentation and approval before payment.
  • Prioritize invoices according to cash discount potential and payment terms.
  • Maintain the three-way matching process.
  • Respond to vendor inquiries.
  • Match invoices to checks, obtain check signatures, and distribute checks.
  • Research and correct discrepancies.
  • Apply 1099 requirements.
  • Scan accounts payable documents into the storage system.
  • Perform daily and weekly payroll tasks and operations accurately and promptly.
  • Process pay changes, corrections, garnishments, and tax withholding as directed.
  • Process, transmit, and verify automated clearing house files for timely bank receipts.
  • Administer and manage personnel and payroll transactions.
  • Assist staff with problems and verify the accuracy and completeness of required documentation and forms.
  • Research, organize, document, and complete assigned special projects.
  • Work with the human resources department on cross-department matters such as paid time off balances, other time off, and wage attachments.
  • Assist with accounting duties.
  • Attend regularly and punctually, including required overtime.
  • Perform other duties as assigned.
Desired Qualifications
  • A bachelor's degree is preferred, or four or more years of relevant experience may be accepted in place of a degree.
  • Previous experience with Workday or similar systems is preferred.
