About the Job

Requirements

  • 1–3 years of experience in operations, logistics, supply chain, or product development support; beauty or consumer packaged goods experience is strongly preferred.
  • Hands-on experience working with a third-party logistics provider or warehouse partner and coordinating less-than-truckload, full-truckload, and parcel freight.
  • Working proficiency in Monday.com or a similar project management tool, SharePoint, and Microsoft Office, particularly Excel.
  • Excellent written communication for vendor-, carrier-, and partner-facing correspondence.
  • Strong organizational skills and proven ability to manage multiple deadline-driven workstreams simultaneously.
  • High attention to detail, as inventory records, shipping documents, and test files are source-of-truth records that launches depend on.

Responsibilities

  • Serve as the primary day-to-day contact for the third-party logistics partner, managing receiving, storage, pick/pack, and fulfillment issues through resolution.
  • Monitor inventory accuracy by coordinating cycle counts, reconciling third-party logistics inventory against NetSuite, and resolving discrepancies.
  • Track third-party logistics performance against agreed service levels, including receiving turnaround, order accuracy, and ship times, and report on trends and recurring issues.
  • Review and reconcile third-party logistics invoices, flagging billing errors and unexpected charges.
  • Manage component and finished-goods disposal and write-off paperwork and cross-vendor transfer records in partnership with Operations.
  • Schedule and track inbound freight from contract manufacturers and component suppliers to the third-party logistics provider, including purchase order and Advance Ship Notice communication.
  • Coordinate outbound retailer and wholesale shipments, including routing requests and compliance with retailer shipping and routing guides.
  • Source and compare freight quotes from carriers and brokers, and book less-than-truckload, full-truckload, and parcel shipments.
  • Maintain shipping documentation, including bills of lading, packing lists, and proof of delivery, and manage freight claims for damaged or lost goods.
  • Coordinate product, sample, and Master Order Specification send-outs to vendors and key partners.
  • Request quotes and schedule testing with the external safety testing facility for new and reformulated products.
  • Track testing status against project timelines, keep New Product Development informed of results and delays affecting launch dates, and manage lab sample requests and shipments to testing facilities and internal teams.
  • Maintain the file of record for test quotes, results, and submissions with the external safety testing facility.
  • Support innovation testing by managing sample distribution and compiling usage and feedback results.
  • Own the Monday.com boards for New Product Development, reformulation, and operations projects, keeping timelines, owners, statuses, and dependencies current.
  • Coordinate Product Key Off calendar invites and cross-functional milestone meetings, capture action items, and follow up on them.
  • Flag timeline risks early, including testing delays, late freight, and component shortages, and escalate them to the appropriate owner.
  • Open and track design job requests in Monday.com for the creative team.
  • Own the Fill & Assembly quoting process with key vendors, including fill-weight verification requests.
  • Order competitive product and packaging samples for benchmarking.
  • Assist with bill-of-materials-related documentation, Non-Conformance Report documentation, and Fill & Assembly specification sheet upkeep as volume requires.
  • Organize and file documentation in the appropriate SharePoint folders, maintaining a clean, current, and audit-ready structure.

Desired Qualifications

  • Familiarity with NetSuite or another enterprise resource planning or inventory management system.
  • Experience with retailer routing guides, vendor compliance requirements, and Electronic Data Interchange or Advance Ship Notice processes.
  • Experience supporting a contract manufacturer or co-pack relationship.
  • Exposure to cosmetic safety or stability testing workflows.
