Requirements
  • A High School diploma or educational equivalent is required.
  • Six months of experience in an outpatient clinic, doctor’s office, or other healthcare environment performing clerical, customer service, or related support duties, or a satisfactory combination of education, experience, and training, is required.
  • Experience using an electronic medical record or electronic health record system and familiarity with prescription medications are required.
  • Excellent written and verbal communication skills are required.
  • Strong customer service skills and a professional manner are required.
  • Basic knowledge of Microsoft Office, specifically Word and Outlook, and the ability to learn common office equipment and electronic systems and software programs such as Workday and practice management or similar databases are required.
  • The ability to report regularly to the assigned clinic location is required.
  • The ability to meet the essential physical demands of the position, including using hands to finger, handle, or feel objects, tools, or controls; sitting, standing, bending, twisting, stooping, kneeling, crouching, pushing, pulling, and reaching with hands and arms, is required.
  • Compliance with Federal, State, Local, and other relevant regulatory agency requirements, including the Health Insurance Portability and Accountability Act, is required.
Responsibilities
  • Provide clerical and administrative support for PHC patients and their circles of support, serving as the primary resource for medication-related requests and ensuring tracking, follow-up, and coordination.
  • Accept calls and collect information from authorized patients and circles of support regarding medication requests in a call center environment, and respond to inquiries from pharmacies, home health agencies, and other external parties.
  • Document medication-related requests, send messages to providers, and follow up with providers, pharmacies, or other parties to confirm receipt and processing.
  • Collaborate with the multidisciplinary team to support patient care, redirect patients and circles of support to appropriate resources, and escalate concerns to the Nurse Manager, Medical Director, or other applicable staff.
  • Review patient charts in the electronic medical record to determine medication refill availability or whether an appointment is required, and schedule appointments using appropriate templates.
  • Liaise with providers to secure approvals or letters of medical necessity for medication prior authorizations and submit required documentation to providers or insurance companies.
  • Update patient medical records by scanning, saving, uploading, or entering notes related to requests, follow-ups, and prior authorization approvals for prescription medications.
  • Coordinate with Call Center staff, nursing, and providers regarding prescription inquiries and act as a liaison between clinicians and patients using the electronic medical record system.
  • Participate in quality improvement activities and escalate quality, compliance, or safety concerns to the Practice Administrator, supervisor, or applicable departments.
  • Perform Patient Services Specialist duties to support the day-to-day operations of the clinic as needed.
  • Perform other duties as assigned.
Desired Qualifications
  • Experience in a call center environment or as a receptionist providing customer service to callers.
  • Experience with individuals with intellectual and developmental disabilities.
  • Working knowledge of medical terminology, disorders, diagnoses, or treatments.
  • Verbal or written fluency in a second language, with Spanish highly preferred.
