Requirements
  • An associate degree, preferably with coursework in business administration or health care administration, and 3 years of administrative experience including 1 year of healthcare management experience, or an equivalent combination of education and experience.
  • Ability to prioritize tasks and projects, work with limited supervision, and exercise independent judgment.
  • Ability to understand and communicate University policies and procedures, analyze situations, and make judgments to facilitate desired outcomes.
  • Professionalism, including maintaining confidentiality of Division matters, and strong communication abilities.
Responsibilities
  • Serve as Practice Manager for the Division of Collaborative Care and Wellness regulated clinics under the guidance of division and program leadership.
  • Oversee front-end operations staff and day-to-day administrative activities supporting clinical operations across integrated sites.
  • Recruit, hire, orient, train, develop, evaluate, and manage staff.
  • Ensure staff complete annual mandatory requirements and adhere to policies and procedures.
  • Complete documentation related to hires, terminations, and other status changes.
  • Conduct employee performance appraisals and manage temporary services staff.
  • Approve time-off and overtime requests from direct reports.
  • Prepare and deliver cross-training for the front-end operations team.
  • Monitor staff work with providers to ensure accuracy and efficiency.
  • Provide front-end coverage during severe staffing shortages.
  • Manage the Division Coordinator and assist with clinical staff orientation and onboarding.
  • Master and manage systems supporting clinical operations and administrative functions, including eRecord, EAPro, UKG, Outlook, Workday, shared drives and applications, and MyPath.
  • Oversee system upgrades, rollouts, and projects related to clinical and administrative systems.
  • Develop work-prioritization and assignment guidelines, evaluate effectiveness, and modify processes as needed.
  • Prepare weekly staff schedules and coverage plans to support clinic operations.
  • Resolve difficult patient complaints and concerns.
  • Establish and maintain an efficient patient-flow system.
  • Schedule and attend regular meetings with providers and office staff.
  • Implement procedures that improve service levels and quality.
  • Implement and enforce Ambulatory, Psychiatry, CCW, and clinic-specific expectations, policies, and procedures.
  • Coordinate front-end coverage for call-outs, vacations, and vacancies and communicate coverage plans to stakeholders.
  • Manage facilities and equipment needs, including facilities requests, swipe access, equipment inventory, and coordination with IT and ISD.
  • Train and maintain the office emergency plan and downtime computer information and coordinate annual clinic training requirements.
  • Ensure compliance with applicable standards, HIPAA, OSHA, JCAHO, and other regulations and accreditation requirements.
  • Perform audits of eRecord tasks and use results to provide training and support for front-end staff.
  • Prepare regular clinic data reports for division leadership using eRecord, HRMS, and other systems.
  • Represent the unit at departmental, service, and institutional meetings.
  • Manage patient complaints as a front-line problem solver.
  • Answer correspondence and inquiries involving University and departmental policies, regulations, and procedures and guide subordinates on routine replies.
  • Act as liaison with physicians, staff, and community health, social, and government agencies.
  • Plan and establish meetings and coordinate program literature, brochures, and other materials.
  • Perform other duties as assigned.
Desired Qualifications
  • A bachelor's degree.
  • Five years of administrative experience.
  • Proficiency in electronic medical records, including template building and billing knowledge.
  • Advanced knowledge of medical practices, terminology, and reimbursement policies.
  • Microsoft Outlook email skills.
  • Electronic filing skills.
  • Typing skills.
  • Intermediate proficiency with Microsoft Word and Excel.
  • A notary license within one year.
