Requirements
  • A high school diploma from an accredited institution or a General Educational Development certificate is required.
  • Previous customer service experience is required.
  • One year of general office or clerical experience is required.
  • Knowledge of general office procedures and practices is required.
  • Ability to keep records, assemble and organize data, and prepare and submit reports in acceptable formats is required.
  • Working knowledge of Microsoft Word, Excel, Outlook, and web-based systems is required.
  • Ability to learn position-related software applications is required.
  • Ability to bend, crouch, or stoop; carry or lift loads up to 49 pounds; sit for 8 hours or more; use computers extensively for 4 hours or more; stand for 4 to 8 hours; and work in alternative areas during peak periods or building maintenance is required.
Responsibilities
  • Perform clerical duties in accordance with Housing and Residence Life policy, including answering phone calls, checking email throughout the shift, communicating information between shifts and with supervisors, and processing resident room changes.
  • Provide customer service to residents, staff, and visitors.
  • Greet residents, staff, and visitors in person or by phone; provide information about campus, residence hall policies, procedures, and front-desk amenities.
  • Receive, record, and distribute United States mail, United Parcel Service packages, FedEx packages, and other packages; enter packages into the online package distribution system; and move supplies, materials, and mail weighing up to 49 pounds, using assistance for heavier loads.
  • Monitor security doors and lobby entryways; check resident, staff, and guest identification; maintain resident, guest, and visitor sign-in and sign-out records; and encode or invalidate campus cards for building and room access.
  • Check out borrowed cleaning and recreational equipment and keys, follow up on returns, maintain forms and records, request front-desk supplies through the online system, and stock supplies when received.
  • Follow directives and policies provided during training, by email, and in the Desk Clerk manual; orient new employees in coordination with Assistant Directors of Operations and Housing and Residence Life; and use the automated on-call system to schedule staff replacements.
  • Follow emergency protocols and evacuation systems, including fire-alarm procedures; identify unusual circumstances; take appropriate action; report critical issues to supervisors and Facilities Services; and complete online incident reports.
  • Report building maintenance issues by phone or through Facilities Services service requests.
  • Perform other tasks requested by Assistant Directors of Operations and building management.
Desired Qualifications
  • One year of customer service experience in a college or university is preferred.
