Requirements
  • Experience in hotel or luxury hospitality food and beverage cost control or procurement with clear ownership of cost of goods sold, inventory, and supplier financials.
  • Strong organisational skills and attention to detail with a controls mindset and accountability for financial outcomes.
  • Solid understanding of food and beverage operations, product standards, seasonality, yield and portion control, and their profit and loss implications.
  • Proficiency with purchasing and inventory systems such as Astore, Adaco/Infor, or similar, and confident Microsoft Excel or spreadsheet skills including lookups, pivot tables, variance analysis, and sensitivity analysis.
  • Clear, professional communication skills with the credibility to influence operational teams and challenge constructively.
  • Analytical, deadline-driven, and comfortable managing multiple priorities across financial close, stock counts, and reporting cycles.
  • Flexibility around month-end, stock counts, and audits; collaborative and service-oriented.
Responsibilities
  • Assist sourcing best-value, brand-standard food and beverage products within budget, cash flow, and lead-time targets while balancing cost, quality, and risk.
  • Ensure accurate purchase orders are raised by food and beverage teams and maintain commitment tracking for visibility of open liabilities and cash requirements.
  • Monitor price movements and negotiate cost improvements, rebates, and terms; quantify savings and record benefits realisation.
  • Maintain complete vendor records, including contracts, specifications, pricing, certifications, and service-level agreements, with version control and expiry alerts.
  • Manage rebate and retro agreements, post monthly accruals, and ensure timely, accurate invoicing.
  • Perform daily control over voids, discounts, transfers, promotions, and staff meals; investigate anomalies, quantify profit and loss impact, and drive corrective actions.
  • Ensure accurate recipe costing, standard yields, and item-recipe links in inventory systems; partner on menu engineering to improve gross margin and contribution per cover.
  • Produce weekly flash profit and loss reporting for food and beverage, including cost of goods sold percentage, purchase commitments, variance against budget or forecast, and key drivers; present commentary and actions.
  • Deliver month-end close inputs including stock adjustments, accruals, prepayments, rebates, and cost reclassifications; reconcile food and beverage cost of goods sold to movements.
  • Maintain strong internal controls, including procurement policy compliance, segregation of duties, and audit evidence packs.
  • Verify goods received against purchase orders for price, quantity, and quality; ensure accuracy and support storage practices that protect asset value and reduce write-offs.
  • Lead or assist monthly stock counts; reconcile variances, identify root causes, implement process fixes, and report shrinkage rates and trend analysis.
  • Monitor slow-moving and short-dated items; recommend mitigation such as menu specials, transfers, or supplier returns, and quantify waste avoidance.
  • Track inventory key performance indicators including days on hand, stock turn, write-off percentage, and goods received not invoiced ageing; propose actions to optimise working capital.
  • Perform three-way matching of purchase orders, delivery notes, and invoices; resolve discrepancies with accounts payable and maintain clean accounts payable records by clearing aged items promptly.
  • Provide actionable insights to Operations on portion and yield control, ideal versus actual cost variances, and profitability by outlet, daypart, and event.
  • Collaborate on pricing decisions and menu changes to achieve target margin while maintaining brand standards.
