  • At least five years of experience performing similar services in a similar environment, or a Bachelor's degree plus two years of experience performing similar services in a similar environment.
  • Excellent oral and written communication skills.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Publisher, and Adobe.
  • U.S. citizenship is required.
  • Eligibility for a Facility Access Authorization, also referred to as an Employment Authorization, by the U.S. Government's designated Security Office.
Responsibilities
  • Maintain Directorate management and agency staff appointments by scheduling meetings, conferences, and teleconferences, including office events and leave calendars.
  • Process and set up accounts payable invoices in the Department of Labor's New Core Financial Management System according to federal invoice-payment guidelines.
  • Review and update OSHA directives using Microsoft Word and Excel.
  • Update records-management information in the Archives and Records Centers Information System.
  • Create, route, and maintain training registrations and course-completion records in the Department of Labor's electronic Learning Link training system.
  • Receive, review, assign, and expedite controlled agency correspondence in the Department of Labor's Correspondence Tracking System, ensuring correspondence readability and quality.
  • Manage incoming and outgoing telephone calls, provide general information, take messages, and direct calls to appropriate staff.
  • Welcome customers and answer general office inquiries using the Cisco CP-8811 multi-line telephone.
  • Create, maintain, and enter information into databases within OSHA program offices.
  • Set up and manage paper or electronic filing systems; record information; edit documents; and maintain office documents, correspondence, and other work-related material.
  • Attend meetings and provide verbal and written meeting summaries.
  • Prepare conference and event materials.
  • Operate scanners, copiers, and fax machines; arrange repairs when equipment malfunctions; and complete preventive maintenance according to manufacturer instructions.
  • Order and maintain office supplies according to federal guidelines and procedures.
  • Format, proofread, edit, retrieve, review, and copy document information.
  • Transmit text, data, and graphics as necessary.
  • Make travel arrangements and reservations and prepare vouchers using the electronic E2 Travel system in accordance with federal travel regulations.
  • Perform duties in a competent and professional manner while meeting established milestones and delivery schedules.
Desired Qualifications
  • Advanced proficiency with Excel, Access, Outlook, PowerPoint, and Word.
  • Proficiency with Adobe Acrobat, data analytic tools, and Visio.
  • Ability to quickly learn additional business tools and technology as necessary.
