  • One to three years of administrative or operations support experience is preferred, although candidates with strong aptitude and transferable skills will be considered.
  • Proficiency in Microsoft Office Suite is required.
  • Proficiency in Smartsheet or another work management platform is required.
  • Candidates must be comfortable navigating and learning new software systems independently at a user level.

Responsibilities
  • Manage the Logistics Manager's calendar, including scheduling meetings, coordinating travel, and processing expense reports.
  • Conduct a weekly check-in with the Logistics Manager to report on key updates, upcoming priorities, and outstanding action items.
  • Coordinate team meetings, including scheduling, agenda preparation, and distribution of notes and follow-ups.
  • Support the broader logistics team with general administrative needs, correspondence, and document organization.
  • Monitor and organize key logistics performance metrics, including lead time compliance and order volume compliance.
  • Track and document quality observations and operational errors to support continuous improvement efforts.
  • Maintain organized records of metrics data to help the team identify trends and opportunities for improvement.
  • Use Tableau dashboards to review and summarize performance data for team reporting.
  • Respond to project and operational support requests by preparing reports, researching labor and material charges, correcting transactions, and resolving billing and documentation questions.
  • Assist with billing and charge management, ensuring accuracy and timely processing.
  • Coordinate vendor invoicing and communications, including reviewing and routing invoices for approval.
  • Prepare purchase orders and task authorizations for review and approval, with the expectation of growing toward greater purchasing coordination responsibilities over time.
  • Support project asset tracking by maintaining accurate and up-to-date records of logistics-related assets.
  • Administer fleet and trailer records, including maintenance purchase orders, inspection tracking, change order processing, and trailer charge administration.
  • Provide administrative support for shipping and logistics activities as needed.
  • Assist with coordinating inbound and outbound material movements at a coordination level.
  • Compile and organize data from multiple sources to support team reporting needs.
  • Maintain accurate records and files within Microsoft Dynamics and other internal systems.
  • Assist with Smartsheet-based tools, including surveys and tracking logs.
  • Support the team in keeping operational documentation current and accessible.
Desired Qualifications
  • An associate's or bachelor's degree is preferred.
  • Construction, logistics, or project-based environment experience is a plus.
  • One to three years of administrative or operations support experience is preferred.
  • Microsoft Dynamics experience is strongly preferred.
  • Experience building and maintaining workflows, reports, dashboards, and automations in Smartsheet or another work management platform is strongly preferred.
  • Familiarity with Tableau or similar tools is a plus.
