Requirements
  • Graduation from high school or equivalency and four years of work experience as a secretary or in a related clerical position, including records management, research, computer data entry and retrieval, and word processing or spreadsheet use; education and experience may substitute year for year.
  • Ability to type 60 words per minute net and proficiency using computers for filing systems, word processing, and spreadsheets.
  • Depending on departmental needs, ability to take dictation, speed write, and accurately record meeting minutes.
  • Ability to operate standard office equipment and specified technical equipment.
  • Ability to organize work, prioritize tasks, and develop and manage automated and complex filing systems.
  • Knowledge of office procedures, Business English, correspondence formats, and composition of letters and memoranda.
  • Knowledge of divisional operations, departmental procedures and systems, and related laws and regulations.
  • Research and mathematical skills and ability to use calculators.
  • Ability and means to travel between the office and other worksites or locations when necessary to collect or distribute information.
Responsibilities
  • Handle front office reception by greeting visitors, answering phone calls, and handling service requests and inquiries concerning Salt Lake City Public Lands.
  • Support the Planning and Landscape Architecture Division and professional and managerial staff with administrative services, special projects, and skilled technical duties.
  • Assist with pavilion and athletic field reservations.
  • Sort and distribute mail and redirect phone calls to the appropriate department and personnel.
  • Transcribe meeting minutes and answer email inquiries.
  • Organize project files, maintain project schedules, and coordinate internal communication for active planning, design, and construction projects.
  • Compile and maintain records of departmental and divisional transactions and activities, and perform clerical duties using departmental systems, procedures, and office equipment.
  • Coordinate meeting logistics, including scheduling meetings, preparing agendas, assembling informational packets, and documenting action items.
  • Perform data entry, report formatting, procurement tasks, document proofing, signature collection, and ordering of office or project-related supplies.
  • Compose and type correspondence, technical reports, and summary data; perform posting, calculating, data compilation, and statistical computation.
  • Analyze and organize information to prepare departmental reports and studies, and present reports to professional and managerial staff in written form.
  • Answer phone inquiries, research requested information, and follow through on requests verbally or in writing.
  • Interpret federal, state, city, and departmental policies and relay information to the public, department personnel, and city employees.
  • Receive and process applications, bids, and service requests; determine eligibility, responsiveness, and compliance with specifications.
  • Explain policies, procedures, and departmental decisions to employees, contractors, and members of the public.
  • Operate computers to maintain, track, and retrieve data; determine formats for reports and data collection; and catalog, file, and record data according to departmental policies.
  • Perform Office Technician I duties and mathematical calculations to assist with project cost estimates and contractor bid reviews.
  • Prepare initial figures for project cost analysis and budget planning.
  • Perform related technical duties and assigned special projects.
