Requirements
  • A high school diploma or equivalent is required.
  • A state criminal background check and federal background check, if applicable, are required for regulated areas.
  • The ability to sit for extended periods is required.
  • The employee must be able to function without lip reading, although hearing aids are permitted.
  • Corrected visual acuity sufficient to read small print and see distant and near objects is required.
  • Strong written and verbal communication skills are required.
  • Familiarity with medical terminology is required.
  • Availability for rotating shifts and occasional holidays and weekends is required.
Responsibilities
  • Monitor operating-room scheduled cases to ensure availability and accurate scheduling.
  • Run equipment checks for all scheduled cases.
  • Coordinate scheduled cases to effectively manage block utilization.
  • Communicate with staff, surgeons, outside schedulers, and outside entities as necessary for operating-room operations.
  • Monitor vendors, students, and representatives and ensure they have the correct documentation before entering restricted areas.
  • Assist in scheduling urgent and emergent surgeries and procedures.
  • Coordinate internal and external equipment needs for cases by assigning operating-room equipment and contacting service-line coordinators about issues.
  • Communicate with appropriate staff when procedures require special equipment.
  • Log and maintain defective equipment and sign out borrowed equipment as needed.
  • Maintain control over the operating-room schedule and close scheduling shortfalls or gaps.
  • Review procedure lengths with surgeons to optimize operating-room time utilization.
  • Monitor the daily schedule for operating-room availability and potential issues to discuss with staff coordinators and management.
  • Inform the proper departments and operating-room staff about add-on cases and cancellations.
  • Work with service-line coordinators and charge staff on operating-room schedules and case placement.
  • Receive and document staffing phone calls.
  • Create and verify operating-room surgical procedures.
  • Monitor, audit, and document TempTrak and report findings when needed.
  • Monitor documentation for medical concerns, including allergies, malignant hyperthermia, and latex concerns.
  • Initiate emergency staff call-in processes and log callback times as required by the service.
  • Print peri-procedure-related documentation for surgeries and procedures.
  • Transport equipment, human tissue, blood, or specimens between departments as needed.
  • Generate daily schedules and reports for distribution and provide a complete end-of-shift report.
  • Enter and update anesthesia assignments when appropriate and required for the assigned area.
  • Provide operating-room scheduling support for various departments.
  • Use Microsoft Office Professional Suite, including Outlook, Word, Excel, and Access; Internet Explorer; and the patient information system.
Desired Qualifications
  • One year of medical-office experience with scheduling responsibilities is preferred.
