Requirements
  • A high school diploma or GED.
  • Strong organizational and communication skills, both verbal and written.
  • Excellent typing skills and friendly telephone etiquette.
Responsibilities
  • Perform all necessary receptionist duties, including answering, screening, and routing phone calls, taking appropriate messages, and ensuring proper delivery of those messages.
  • Assess telephone calls, determine the urgency of calls, and refer urgent medical queries to a physician or nurse immediately.
  • Maintain a clean and organized reception area.
  • Use an Electronic Medical Record and/or other systems for check-in and check-out processes, including verifying patient demographics and insurance information, obtaining patient signatures on applicable patient forms, and having patients complete visit-related paperwork.
  • Enter and scan patient data into the Electronic Medical Record.
  • Collect and process necessary payments.
  • Facilitate patient flow by notifying providers of patient arrivals, delays, or backlogs and communicating with staff and patients as necessary.
  • Schedule patient appointments and remind patients of documentation required for appointments.
  • Schedule services or procedures as needed.
  • Obtain or retrieve referrals, authorizations, and eligibility verification as required.
  • Telephone patients when a physician’s schedule changes or an appointment needs to be rescheduled.
  • Keep office supplies adequately stocked by anticipating inventory needs, placing orders, or advising the office manager of needed items.
  • Ensure Health Insurance Portability and Accountability Act guidelines are followed at all times.
  • Provide additional night-hour and weekend coverage as needed.
  • Update and maintain the integrity of client information.
  • Perform other duties assigned by management.
Desired Qualifications
  • Graduate of an accredited Medical Office Administration program.
  • Six months of experience working as a Medical Receptionist in a high-volume physician practice.
  • One year of clerical experience.
  • Proficiency in using an Electronic Medical Record and a practice management system.
