Requirements
  • Employment history demonstrating property management, sales, marketing, and customer service experience sufficient to assist in managing the day-to-day operation of an apartment community, resolve customer complaints and issues, complete financial records, documents, and reports, increase sales revenues, and coordinate the work of a team.
  • A high school diploma or GED equivalent is required.
  • Two years of experience in the multifamily industry are required.
  • Ability to read, write, and communicate effectively to comprehend and complete legal documents, sell and explain apartment features, and answer questions about the property's operation.
  • Mathematical skills sufficient to add, subtract, multiply, and divide numbers, decimals, and fractions, and calculate percentages for financial records, budgets, and fiscal reporting.
  • Understanding of property operations, lease terms, lease enforcement, and collections, with the ability to apply common-sense understanding to written, oral, or diagrammed instructions and solve problems involving several concrete variables in standardized situations.
  • Proficiency in internet, word-processing, spreadsheet, and database-management programs for required reports and employment documents.
  • Strong proficiency in property-management software, preferably Yardi and/or OneSite.
  • A current valid driver's license is required.
  • Ability to meet predictable attendance and punctuality expectations and perform the essential job functions unaccompanied.
  • Ability to work scheduled weekends and perform the physical demands of the position, including accessing all property areas, walking extended distances, navigating stairs, and lifting or maneuvering up to 20 pounds independently and 50 pounds with assistance.
Responsibilities
  • Support and assist the Community Director in overseeing and managing the financial and operational facets of the community.
  • Complete accounting and bookkeeping tasks, monthly close-out and financial reports, invoice processing, rent and payment collection, bank deposits, dispositions, account reconciliations, and property-management-system records.
  • Complete daily financial transactions by collecting and posting rent, fees, and other payments, preparing bank deposits and financial reports, and tracing unreconciled transactions with accounting.
  • Review and submit vendor, contractor, and service-provider invoices by reconciling work performed or products purchased, obtaining approval, coding charges to Chart of Account codes, and coordinating communications among involved parties.
  • Enter approved bills into the property accounting system, scan invoices to the community data drive, and submit them to accounting for processing.
  • Review resident files and accounting records for unpaid or late fees, communicate with residents about outstanding balances, implement delinquency-collection procedures, and enforce leases to maximize revenue.
  • Follow eviction procedures, including notice requirements, resident evictions, and property representation in court hearings and eviction proceedings.
  • Process resident move-outs by reviewing lease and notice terms, applying applicable deposit and lease-cancellation fees, and processing dispositions according to established procedures and legal requirements.
  • Promote resident satisfaction and retention by responding to complaints, questions, and requests and resolving service issues.
  • Act as the on-site supervisor when the Community Manager is absent by organizing and delegating daily work, coordinating maintenance and make-ready tasks, and managing community operations in compliance with company policies and procedures.
  • Assist with client and owner relationships through meetings, property tours, performance updates, information sharing, and responses to owner requests.
  • Assist or support leasing and marketing efforts by greeting prospects, gathering Guest Card information, showing apartments and models, closing leases, obtaining lease deposits, and assisting with rental applications and credit verification.
  • Complete accounting, financial, administrative, and other reports and perform additional duties as assigned or necessary.
  • Participate in industry-related associations, community activities, training, and other activities that support company and business goals.
  • Work scheduled hours and weekends as required by the community site.
  • Make routine local trips for bank deposits, training classes, or other necessary duties.
