Requirements
  • A High School Diploma is required.
  • A minimum of five years of experience at a comparable level, including a minimum of three years of advanced secretarial training, is required.
  • Training and/or experience as a legal secretary is required.
  • The candidate must possess superior word processing skills.
  • The candidate must have analytical, research, and writing skills.
  • The candidate must maintain effective work relationships at all levels.
  • The candidate must exercise discretion when working with highly confidential information.
  • The candidate must be able to think independently, recognize basic requirements, and develop and follow through on additional requirements on a case-by-case basis.
  • The candidate must recognize deadlines and prioritize work accordingly.
  • The candidate will be involved with counsel in directing and responding to requests from outside counsel.
  • The candidate must independently handle requests for information and assistance to counsel and effectively organize and handle a large volume of documents on a variety of topics.
  • The candidate must be able to communicate effectively with co-workers and clients.
  • The candidate must work cooperatively and demonstrate teamwork.
  • The candidate must be able to deal tactfully and professionally with all levels of management and a variety of situations.
  • The candidate must be energetic and flexible.
  • The candidate must be able to speak, read, and write fluent English.
  • The candidate must have superior skills working with a Windows environment and Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, and Access, Adobe Acrobat, Internet Explorer, and other computer software applications.
  • The candidate must demonstrate an accurate typing speed of 95 words per minute.
Responsibilities
  • The Legal Assistant provides confidential administrative support to legal staff.
  • The role provides secretarial support to a particular legal specialty or team within the Office of the General Counsel.
  • The role assists with preparing contracts, corporate, transactional, intellectual property, claims, risk management, and other legal documents, correspondence, and reports.
  • The role operates word-processing equipment to type materials from rough drafts, corrected copy, voice recordings, and magnetic tape files, ensuring appropriateness of form and content.
  • The role types or enters and assembles legal forms, schedules, reports, lists, correspondence, calendars, briefs, facsimile requests, and opinions.
  • The role proofreads and corrects materials for grammar, syntax, punctuation, clerical accuracy, and spelling.
  • The role composes, compares, edits, revises, tabulates, and prints letters, tables, reports, and other materials.
  • The role sets up and maintains calendars and appointment schedules for attorneys.
  • The role reserves meeting locations and arranges supplies such as overheads, handouts, and other materials as needed.
  • The role promptly communicates schedule changes to attorneys and all other involved parties.
  • The role prepares meeting confirmations.
  • The role pulls and reviews files for daily calendars.
  • The role ensures meeting files are up to date and contain all pertinent information, follows up on missing information, and brings items to the attorney’s attention for action.
  • The role makes travel and lodging arrangements for attorneys and prepares expense and expense reimbursement requests.
  • The role takes and responds to telephone calls from clients, University and Health System administrators, faculty, students, and other internal and external personnel.
  • The role responds to questions or directs them to the appropriate staff member or University or Health System office.
  • The role independently handles requests that do not require an attorney’s or paralegal’s personal attention.
  • The role assists with compiling and maintaining letters, agreements, and other documentation.
  • The role maintains ticklers and inputs data into databases, spreadsheets, and other tracking systems.
  • The role sets up, organizes, and maintains paper and electronic files.
  • The role organizes large amounts of data, documents, and other materials in a comprehensive central filing system.
  • The role creates and maintains a tickler schedule for archiving and purging.
  • The role uses a personal computer to produce databases, proposals, charts, graphs, presentation materials, mailing lists, legal materials, and meeting agendas.
  • The role tracks and maintains University and Health System trademark applications, issued trademarks, statuses, and other data elements in the Trademark Docket database in Microsoft Access.
  • The role receives, opens, prioritizes, and distributes mail and operates Windows PCs, photocopiers, scanners, and printers.
  • The role performs general office duties.
  • The role establishes and maintains professional working relationships and collaborates with other members of the Office of the General Counsel.
  • The role assists counsel with research, including obtaining copies of statutes, regulations, ordinances, corporate filings, and cases as directed.
  • The role performs special projects as assigned.
  • The role performs related duties in areas of responsibility, including logistics for conferences and other group event planning.
  • The role provides back-up secretarial support as needed.
Desired Qualifications
  • An Associate or Bachelor degree is preferred.
  • Experience with legal, technical, and medical terminology is preferred.
