Requirements
  • A two-year post-secondary diploma in medical office administration.
  • A medical terminology certificate.
  • Minimum one year and up to two years of experience providing administrative support and interacting with patients, families, and staff in a busy healthcare setting.
  • Intermediate proficiency in Microsoft Word and Microsoft Excel, email, internet searches, medical spelling, and medical terminology.
  • Clerical testing may be required as part of the selection process.
  • Proficiency in data entry and the use of patient registration and scheduling systems.
  • Accurate keyboarding skills with a minimum typing speed of 35 words per minute.
  • Customer service skills demonstrated through respectful and compassionate interactions.
  • Ability to communicate sensitively, non-judgmentally, effectively, and tactfully in person and by telephone, with strong verbal and written communication skills.
  • Ability to maintain composure while handling multiple tasks, frequent interruptions, and stressful situations.
  • Organization, problem-solving, critical-thinking, prioritization, and ability to work with minimal supervision.

Responsibilities
  • Provide reception duties by handling incoming phone calls and enquiries at the unit desk, making referrals, and directing individuals appropriately.
  • Enter, retrieve, and update patient information in the Electronic Health Record and information systems; communicate with housekeeping, porters, and other services through the system; print labels, forms, and census information; maintain unit statistics; and produce reports related to unit activity.
  • Handle documentation and the flow of patient admissions, transfers, and discharges, including filing or forwarding related items to hospital departments.
  • Arrange patient appointments, tests, procedures, and transportation, and complete post-discharge follow-up calls to families and patients as directed.
  • Maintain the unit Bed Manager Board and downtime procedures, and submit reports as appropriate.
  • Participate in unit audits and inspections.
  • Order specialty beds and equipment, including rentals, returns, tracking, and bookings.
  • Support program-specific duties, including the Patient Activity Fund and distribution of patient PIN cheques.
  • Assist the Clinical/Nurse Manager with master schedule updates; prepare and post schedules according to collective agreements; arrange replacements; record staff absences; maintain call-in sheets; and assist the Charge Nurse in contacting staff.
  • Record staff attendance; complete payroll sheets, payroll corrections, and overtime submissions for the Clinical/Nurse Manager's approval; and submit them to Payroll.
  • Schedule orientation, education, and training sessions for departmental staff and assist with orienting new staff to the unit.
  • Provide administrative support by typing routine correspondence, filing, sorting and distributing mail, faxing, emailing, booking conference rooms, and coordinating meetings.
  • Ensure unit supplies are stocked and reordered promptly, monitor and handle maintenance work orders, and enter information into HEMM as designated.
  • Monitor unit activity and maintain the nursing station and work area in a safe, organized, and presentable condition.
  • Provide coverage for other Patient Care Unit Clerks within the program or service.
  • Assist with other activities delegated by the Clinical/Nurse Manager.
